ABOUT THE ROLE
As the executive assistant, you will report to 3 senior executives (the CEO and two VPs) and work together with their teams to provide strong administrative and logistical support. You will oversee all day-to-day dealings of the executives, including travel, calendar management, and general logistical coordination.

JOB DESCRIPTION
DUTIES:
Extensive management of multiple calendars, scheduling of meetings and calls both domestically and internationally, and the ability to make informed decisions regarding Executive's availability.
Act as point of contact between other Senior Managers and internal artist teams within the company
Logistically heavy - will deal with many phone calls and emails, the coordination of meetings and conference calls, and meeting preparation including deck creation, meeting notes, etc.
Daily correspondence with various affiliate partners and offices as well as other EAs
Coordinate travel arrangements including lodging, airfare and ground transportation bookings for both domestic and international travel
Manage, prepare and submit monthly expense reports in a timely fashion
Apply professional techniques for problem solving and project management
Organize music assets and documents within databases and internal systems
Occasional personal assistant work, including coordinating personal appointments and tasks as needed
Ensuring timely and effective communications across all given duties
Handle administrative tasks including answering phones, managing conference lines, and coordinating calendar invitations
REQUIREMENTS:
Minimum of 2-3 years of prior administrative experience in the music or entertainment industry
Eager to learn, detail-oriented and flexible
Strong verbal and written communication skills
Knowledge of scheduling and travel coordination
Knowledge of time management, organization and prioritization skills
Ability to work nontraditional hours, including evenings and weekends as needed
Proven ability to work under tight deadlines and handle pressure, while consistently paying attention to accuracy and quality of work
Digitally savvy; proficient in Google calendar and iCal as well as Microsoft Office suite and Google Suite (Bonus if knowledge of Adobe Suite)
Familiar with Box/Dropbox, WeTransfer, Docusign and Concur

-You are energetic and ready to work in a fast paced environment
-You have a strong sense of deadlines and are able to juggle and prioritize multiple tasks
-You are proactive and able to anticipate needs before they arise, as well as provide creative solutions to problems
-You are a team player with execllent interpersonal skills who can navigate communication across artist and internal teams
-You are able to handle highly sensitive and confidential information with the most discretion
-You are able to take direction and feedback and implement specific initiatives
