Position Title: Executive Assistant
Location: Burbank, CA (On-site)
Job Summary:
The Executive Assistant will provide comprehensive administrative support to Human Resources executives and team members at The Walt Disney Studios. This role involves managing calendars, arranging travel, assisting with projects, and ensuring seamless office workflow. The Assistant will also handle confidential information with discretion and facilitate communication across the HR team.
Responsibilities:
• Provide administrative support to HR executives, including answering phones, scheduling meetings, organizing files, arranging travel, processing expenses, and handling invoices
• Manage office workflow and assist with critical HR projects, budgets, and staff communication
• Collaborate with executives to manage calendars, anticipate scheduling conflicts, and ensure preparation for meetings
• Analyze office procedures and implement proactive solutions to improve efficiency
• Use technology to maintain follow-up systems and ensure timely completion of assignments
• Maintain departmental contact lists and uphold confidentiality standards
• Foster a positive and collaborative office environment
• Perform miscellaneous duties and projects as needed
• Assist the HR Business Partner team with calendar requests, workflow management, and HR-related inquiries
Basic Qualifications:
• Proven experience in supporting an executive office as an effective and integrated partner
• Background in providing administrative support to executives (Disney experience is advantageous)
• Strong interpersonal skills with the ability to collaborate across teams and manage sensitive information
• Expertise in managing complex administrative tasks, deadlines, and priorities
• Highly organized with attention to detail and strong follow-up skills
• Ability to make informed decisions and adapt to changing circumstances
• Excellent communication skills, both written and verbal, including preparing presentation materials
• Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
• Flexibility with work schedule; occasional overtime may be required
Preferred Qualifications:
• Previous experience in Human Resources or Recruiting
• Experience supporting multiple executives in a matrixed organization
• Interest in learning emerging technologies and systems
Preferred Education:
• Bachelor's degree or equivalent experience preferred
Salary Range:
$52,400 to $70,200 per year based on a 40-hour work week. Compensation may vary based on experience, qualifications, and location.
