Job Summary:
This position supports the Vice President of Engineering and Infrastructure and two Directors of Real Estate Transactions, Portfolio Management and Space Planning.
The Corporate Real Estate Operations group is responsible for day-to-day facilities operations, capital planning, and engineering operations of owned and leased facilities to ensure business is conducted in a clean, safe, and efficient work environment and that the value of Company's physical assets is protected and enhanced, adhering to the highest level of engineering standards
The Corporate Real Estate's Global Portfolio Management and Transactions group is responsible for the ongoing management of TWDC's global portfolio which is over 25 million SF in 350 owned and leased locations worldwide. Our team partners with all lines of business and internal stakeholders to develop and implement strategic and economic real estate solutions that align with TWDC's overall policies and procedures.
What You Will Do:
• Fully manage calendars and meeting schedules such as, anticipating schedule changes, and upcoming events
• Handle phones and maintain contact lists
• Make travel arrangements (domestic and international)
• Create and manage expense reports and invoices
• Order replacement phone devices and manage day to day office billing/invoices
• Ability to take lead on small event type setups
• Create and edit meeting agendas, PowerPoint presentations, and other documents for the department
• Manage office and kitchen supplies, coordinating with other assistants and ensuring adequate inventory
• Create correspondence, documents, emails, and other communications
• Coordinate, set-up and support meeting preparation, e.g. printing documents and alerting when meetings are starting
• Partner with other assistants to ensure effective, efficient management of the department
• Provide back-up administrative support for other staff across the department as needed (e.g., when other assistants are out of the office)
Required Qualifications & Skills
• Experience supporting executives with heavy calendar management needs
• Proficient in handling complex calendars including meeting scheduling (often with senior execs with very busy calendars as well)
• At least 5-years of relevant experience. Prior experience may include finance, commercial and/or corporate real estate and legal.

• Ability to make independent decisions and demonstrate good judgment in the handling of issues-including those that involve sensitive and confidential information
• Demonstrated ability to prioritize multiple tasks, meet deadlines, manage competing demands and change course of action quickly in a fast-paced environment
• Understand AV systems and to setup meeting spaces
• Demonstrated computer proficiency within a Windows environment, including Outlook, Word, Excel, PowerPoint. MS Teams, Zoom, Concur T&E system, SharePoint
Preferred Qualifications
• College degree preferred
• Experience supporting senior executive at a large corporation
The hiring range for this position in New York, NY is $67,500 to $90,400 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
