ROLE OVERVIEW:
We are seeking a high-performing and self-motivated Executive Assistant to join our team. This will report to both the Chief Creative Officer and EVP, Brand Partnerships. This position will play a key role in supporting our CCO and EVP, BP through high touch professional assistance across the day-to-day planning, scheduling and operations of their offices. Success is dependent upon the candidate's ability to maintain a positive, high-energy demeanor, navigate highly confidential situations, and provide a supreme level of professionalism and attention to detail across all internal and external teams, partners, and company touch-points. A successful candidate plays a pivotal role in supporting TSHC internal engagements and will act as a welcoming representative of the departments.
REPORTS TO:Chief Creative Officer & EVP, Brand Partnerships
RESPONSIBILITIES:
• Own and meticulously manage the Chief Creative Officer and EVP, Brand Partnerships' calendars, which includes scheduling (and potentially rescheduling) all their internal and external meetings and appointments and thinking proactively about key obstacles that include competing priorities, travel, and desk/non-meeting time.
• Book and manage all work travel for the CCO/EVP, BP and ensure that they get from one place to another safely and on time.
• Help manage the flow of correspondence into the CCO/EVP, BP's offices and ensure that it is responded to in a timely and professional way.
• Complete all the CCO/EVP, BP's expenses as well as other administrative tasks to keep their days running on track.
• Regularly assess the CCO/EVP, BP's days to run more smoothly by reviewing their time management and implementing new ways to drive efficiency in their respective days.
• Daily touch base to ensure CCO/EVP, BP stays on schedule for internal/external meetings.
• Calendar alignment to ensure flexibility to join CCO/EVP, BP for meetings both virtually and in person as needed (must be open to travel).
• Detailed meeting prep for EVP, BP to drive successful presentation flow and positive outcome.
• Proficient in Zoom, Google Meet, Microsoft Teams to share presentations, coordinate virtual meetings,etc.
• Premier attention to detail - to ensure efficient and effective management of all day to day responsibilities.
• Be a team player: notice when the departments could use an extra hand on high-priority projects. [Other tasks, duties or special projects as assigned.]
QUALIFICATIONS:
• Minimum of 2 years' experience as an Administrative and/or Executive Assistant at the C-Suite level.
• Bachelor's degree preferred.
• Must be impeccably detail oriented with an obsession for punctuality.
• An established track record of outstanding judgment in fast-paced, high-pro?le environments, particularly in dealing with time-sensitive, con?dential and/or controversial matters.
• Confident Communicator: excellent interpersonal, organizational, communication (both written & verbal), relational and presentation skills.
• A high integrity level and a passion for helping others.
• Flexibility and the ability to perform e?ectively under stress and meet deadlines.
• The ability to work at the strategic level as well as operating day-to-day activities.
• Proven ability to manage multiple projects from inception through to execution while adhering to strict deadlines.
• Self-Starter with an entrepreneur mentality who knows how to thrive in a fast-paced/multi-faceted environment.
• A strong track record of unwavering loyalty and ability to maintain con?dentiality.
• Tech-savvy individual who is con?dent in operating various types of personal and professional tech equipment.
$64,480 - $70,000 a year
