Agency Assistant
The Mine Agency
New York (Manhattan), NYThis is a Full Time Job
We’re hiring an agency assistant to support our agents and clients. You’ll sit at the center of the agency’s daily activity: coordinating auditions, communicating with clients and casting offices, and seeing bookings through from offer to final payment. This role suits someone who enjoys both the people and the details of representation, cares about actors’ careers, and takes pride in the administrative work that moves those careers forward.
Responsibilities:
• Coordinate audition appointments, callbacks, and self-tape requests: communicate instructions, confirm availability, and track deadlines and submissions.
• Maintain accurate audition tracking so agents can see outstanding materials, confirmations, and follow-ups at a glance.
• Handle calls and correspondence with clients, casting offices, managers, and production contacts professionally and promptly.
• Keep client calendars and availability current, flagging conflicts and changes.
• Track bookings through to completion: offers, deal memos, contracts, payments, and commissions.
• Update client materials, contact records, and booking information, and help process new client paperwork.
• Support agents with submissions, meeting preparation, research, and routine follow-up.
• Assist with office administration and client activities, including opening nights, gifts, and social media postings.
What we’re looking for:
• Strong organization and follow-through, with careful attention to names, dates, instructions, and deadlines.
• Clear writing, good phone manners, and sound judgment when communicating on the agency’s behalf.
• The ability to weigh competing requests, ask useful questions, and stay composed when plans change.
• Discretion with confidential client and business information.
• Comfort with Google Workspace, spreadsheets, and calendars, and a willingness to learn new software.
• Curiosity about theatre, television, film, and the work of talent representation.
• A collaborative approach and a willingness to handle both recurring tasks and unexpected needs.
Experience at a talent agency, management company, casting office, or related entertainment business is helpful. Familiarity with Breakdown Express/Eco Cast, Actors Access, Casting Networks, or CRM platforms is a plus. We also encourage candidates with relevant administrative experience and a demonstrated interest in the industry to apply.
