THE IMPACT AGENCY is a strategic marketing and events firm based in New York City and Los Angeles that leverages long-standing talent relationships to amplify word-of-mouth campaigns for film, television, and brands through organic social media engagement, traditional red-carpet events, tastemaker screenings and promotional mailers.
Summary of Position:
The Impact Agency team is seeking a special events production coordinator to join our New York team to assist our Front-of-House Manager + Operations Manager with in-person film and television screenings, premieres, and luncheons.
Job Description:
• Work with the event lead on drafting event run-of-show, staffing documents and production budgets for in-person events
• Assist with on-site management and coordination of all vendors & staffers
• Prepare and manage deal memos, estimates, seating charts, site maps, production decks and other logistical documents
• Handle client facing comms with event design decks and budgets
• Handle Vendor/Venue Coordination, Manage production and design of the Step & Repeat/Red Carpet/Signage, source additional elements (i.e. décor, security, valet/parking, florals, performances and musicians, lighting, and photo & social media activations)
• Coordinate load-in/load-out for Will Call, Red Carpet/Photo Opp, and Reception/Party, as needed
• Coordinate & correspond with Support Staff regarding staffing needs & assignments
• Coordinate booking event security & house photographers, as needed
• Conduct walkthroughs at various New York venues and theaters
• Weekly research and outreach to newly opened New York venues & theaters
• Responsible for storing and transporting supplies, inventory, and printed collateral (Impact iPads, printing check-in sheets, face sheets, ticket-boxes, tape, frames, office kit, uploading all relevant event materials to iCloud, etc) for on-site events
*Additional support with red-carpet management, press correspondence, face sheets, and digital name placards, as needed

Preferred Qualifications:
• Minimum of 2 years of related work experience in the entertainment or hospitality industry
• Experience with remote work
• Availability to work traditional East Coast hours in addition to evening and weekend events
• Able to take public transportation to/from venue walkthroughs and in-person events
• Knowledgeable of filmmakers, upcoming TV & film releases, and the overall entertainment industry/current events.
• Standing relationships with venues and/or theaters in the Greater New York area
• Strong communications and interpersonal skills
• Strong organizational skills and time management
• Superior attention to detail
• Ability to multitask and handle multiple events at one time
• Proficiency with PCs, Microsoft Office applications and Google Suite
• Ability to be discreet and maintain confidentiality/professionalism
• Must live within the Greater New York City Area
Salary/Benefits
$70,000.00
per year
