The Freddy Wexler Company - multi-platform entertainment and media company working at the intersection of music, film, television, technology, and culture - is seeking a highly capable, polished, and proactive Executive Assistant to our CEO, Freddy Wexler. The ideal candidate has sharp instincts, excellent judgment, and thrives in fast-paced, constantly evolving environments. This role requires an ability to anticipate needs before they arise, operate with flawless discretion, and approach every task - big or small - with initiative and integrity. Beyond traditional executive support, this role includes creative responsibilities across project ideation, franchise development, casting, and brainstorming for both film/TV and music projects.
Key Responsibilities:
• Calendar Management: Strategically manage a dynamic and high-volume schedule, including internal and external meetings, appointments, and travel.
• Travel Planning: Coordinate detailed domestic and international travel, including flights, hotels, agendas, and contingency planning.
• Expense Management: Handle expense reports, invoices, and budgets with accuracy and efficiency, while maintaining organized records.
• Relationship Management: Serve as a point of contact for high-profile clients, talent, and executives, maintaining professionalism and discretion at all times.
• Meeting Coordination: Prepare thorough materials for meetings, send reminders, and ensure the CEO is well-prepared for all engagements.
• Artist Support: Provide logistical and administrative support to artists signed to the company, assisting with scheduling, coordination, and on-the-ground needs.
• Studio Oversight: Manage the recording studio to maintain a clean, organized, and well-equipped environment that's always session-ready.
• Market Research: Create daily comprehensive updates on industry trends, competitive projects, and opportunities across media, entertainment, and tech landscapes.
• Development & Project Tracking: Track competitive projects, evaluate pitches, and make recommendations based on sellable concepts and IP.
• Script & Film Evaluation: Read scripts, screen films, and track intellectual property for development and production consideration.
• Pitch Decks & Creative Materials: Create compelling pitch decks and generate cast, writer, and director lists.
• Casting Support: Assist with casting efforts and support the development of special creative projects.
• Internal Tracking Systems: Create, manage, and update internal development tracking grids and filing systems.
What We're Looking For:
• 2-5 years of high-level assistant experience in entertainment or media (agency or executive support preferred).
• A self-starter with strong instincts: you act before being asked and stay two steps ahead.
• Comfortability supporting a high-energy creative with unpredictable hours and evolving needs.
• Tech-savvy: Google Workspace, Keynote, Canva, Photoshop, and comfortable with AI tools (ChatGPT, etc.).
• Someone who is ''in the mix'' - naturally connected to the cultural and entertainment landscape, with an intuitive understanding of trends, key players, and opportunities.
• Exceptional organizational and multitasking skills, with the ability to manage competing priorities.
• A deep understanding of pop culture and a keen awareness of trends in entertainment, media, and technology.
• Discretion, professionalism, and the ability to maintain confidentiality at all times.
• A positive, can-do attitude with a ''no task too big or small'' mentality.
• Valid driver's license, reliable car, and current passport required.
