JOB SUMMARY: The Texas Rangers Baseball Club is seeking an Executive Assistant who will play a crucial role in providing comprehensive administrative support. This role encompasses a wide range of responsibilities including executive assistant tasks, ownership concierge duties, and general administrative support. This individual will interact with top-level executives and officials daily and must be able to handle sensitive and confidential information with discretion. This role will serve as a team player that will pitch in on a variety of special projects, meetings, and events in addition to the day-to-day operations of the executive office. The ideal candidate is organized, detail-oriented, and capable of handling sensitive information with discretion. They should be comfortable working in a fast-paced environment and collaborating with top-level executives and owners.
ESSENTIAL FUNCTIONS OF POSITION INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:
• Provide administrative support to top-level executives.
• Answer telephone, screen calls, and take detailed messages. Organize mail and executive paperwork, forward to appropriate parties, and respond independently when necessary.
• Maintain appointment schedule, plan and schedule meetings, conferences, and teleconferences.
• Welcome guests and customers, act as a gatekeeper to the executive's office.
• Make business and personal travel arrangements (flights, parking, hotel and group transportation/car rental reservations) and prepare detailed itineraries.
• Organize receipts, scan and process monthly expense reports.
• Process ownership tickets and parking requests for business and personal use during the baseball season. (Spring Training, Home, Away, and Postseason games)
• Assist with ownership communications and announcements.
• Compose and communicate ownership correspondence pertaining to a range of events, meetings, and announcements such as Spring Training, Opening Day, credentials, significant Foundation & Community Outreach events, and Post Season.
• Maintain executive kitchen and copier room supplies and organization.
• Manage office supplies inventory by monitoring stock levels, anticipating supply needs, evaluating new products, placing, and expediting orders, and verifying supply receipts.
• Oversee the master conference room calendar.
• Assist with and help coordinate special events, board meetings, and conference calls.
• Responsible for ordering and picking up lunch.
• Coordinate catering orders, set-up, break-down, and cleanup for meetings and events.
• Process and execute ownership tickets and parking requests.
• Prepare purchase card/expense reports.
• Support the organization of the Opening Day reception and other exceptional occasions, encompassing tasks like managing electronic invitations, monitoring RSVPs and ticket requirements, arranging catering services, selecting linens and floral arrangements, and coordinating the procurement of signage, lanyards, and credentials.
• Contribute to ad hoc projects including holiday card distribution, miscellaneous donation requests, gift bags, and documentation retention process.
• All other duties as assigned.
PREFERRED QUALIFICATIONS:
• College degree preferred.
• Administrative Assistant experience.
• Prior experience working in a fast-paced, highly confidential environment as an administrative assistant.
• Exhibits a professional demeanor when engaging with owners, senior leadership team, and dignitaries, fostering effective interactions.
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
• Detail-oriented with good organizational skills and ability to multitask.
• Demonstrates exceptional written and verbal communication skills along with superior interpersonal and customer service abilities.
• Skillfully manage calendars and possess prior experience in coordinating travel logistics.
• Sound judgment and ability to exercise authority with respect to third parties.
• Ability to work independently and with minimal supervision.
• Valid driver's license and reliable transportation.
• The candidate should demonstrate flexibility to work outside regular office hours when necessary.
