JOB SUMMARY: The function of the Executive Assistant to the President includes tasks such as travel coordination, managing calendars, clerical work, correspondence to clients and partners before and after meetings, and additional responsibilities at the request of the Executive. This role is for an organized, and detail-oriented individual.
ESSENTIAL FUNCTIONS OF POSITION INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:
• Prepares, revises, and compares various documents and forms, including but not limited to letters, spreadsheets and PowerPoint presentations
• Answers telephone, screens calls, and takes detailed messages. Organizes mail and other executive paperwork, forwards to appropriate party and/or responds independently as appropriate calling attention to priorities
• Maintains appointment schedule by planning and scheduling meetings, conferences, teleconferences, and catering needs
• Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries. Acts as a gatekeeper to the President's office
• Attend meetings, lunch gatherings, and events with guests at the executive's request
• Oversee the master conference room calendar
• Sends gifts, flowers, etc. to clients following meetings and events
• Provides research and data pertaining to potential clients, locations, and any outside party per the Executive's request
• Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
• Makes business travel arrangements and preparing detailed travel itineraries
• Assistance with personal tasks such as travel reservations and accommodations, family calendars, research, family gift purchases, etc.
• Organizes receipts, scans and processes monthly expense reports
• Processes ticket requests for business and personal use during the baseball season
• Coordinates vacation schedules and track days outside of the office (vacation, personal, sick) for REV Entertainment
• Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
• Exercise independent judgment with respect to responsibilities and tasks delegated
• All other duties as assigned
PREFERRED QUALIFICATIONS:
• Experience working in fast-paced, highly confidential environment with prior administrative assistant experience
• Excellent written and verbal communication skills
• Microsoft Office Skills (Outlook, Word, Excel, PowerPoint)
• Executive Assistant experience
• Detail-oriented with good organizational skills, ability to multi-task, calendar, and previous experience with travel logistics
• Sound judgment and ability to tactfully exercise authority with respect to third parties as needed
• BA or BS Degree preferred with an additional 2-5 years of experience working in an office environment providing administrative support
• Candidate will need the flexibility to work beyond normal office hours
