The Job
Talent Strategies is seeking a strong and enthusiastic Assistant / Coordinator to join and grow with our team. This role with support two senior executives with day to day assistant duties/administrative tasks in addition to hands on experience with both executives for various clientele in all areas of entertainment including talent relations, celebrity booking, publicity and corporate communications. This creative thinker will need to wear multiple hats and be able to prioritize time accordingly. You will be playing both a strategic and tactical role in supporting both executives.
General Responsibilities:
• Assist two Executives with daily assistant duties including but not limited to; managing calendars, coordinating and setting up meetings and conference calls, processing expenses, confirming contacts, updating and creating tracking sheets and performing other administrative duties as assigned.
Talent Strategies - Key Responsibilities:
• Monitor status and maintain detailed tracking reports for a multitude of booking projects for promotional and paid celebrity opportunities.
• Interface with high a profile, prestigious client base, supporting principal with all aspects of client service.
• Garner strong relationships and knowledge of talent representatives and their teams.
• Regular outreach and confirm current celebrity contact information for client correspondence.
• Generate regular round ups and status reports, write pitches, offer letters, brainstorm lists, etc.
• Research, curate and create proposals of appropriate talent for a variety of client initiatives.
• Assist in all aspects of coordination and occasionally coverage related to securing talent involvement for interviews, photo and video shoots, red carpet events, etc.
• Manage company social media accounts and website initiatives.
PR - Key Responsibilities
• Assist in developing strategy and executing communications outreach around individual client's brand and offerings
• Assist in driving smart and thoughtful coverage of various clientele, in business, trade, and consumer publications (across broadcast, print, digital as well as non-traditional platforms) by researching and developing media lists in different verticals
• Assist in the development of creative narrative to tell each clients' stories that influence an audience and drive results
• Assist in pitching different story ideas to various outlets, journalists, bloggers, podcasts, etc.
• Draft talking points, editor briefings, press releases, schedules, and any other assets needed on behalf of each client
• Build relationships with journalists and key media outlets
• Track pitches and follow-up
Qualifications :
• Must have passion for and general understanding of the entertainment industry, including new and traditional media.
• Must possess a deep interest in and knowledge of Hollywood, celebrities and their projects.
• College degree required.
• 1-2 years of administrative support experience at a studio, network or agency (public relations, talent/literary, etc.) preferred.
• Prior internships in the entertainment or public relations/communications field preferred.
• Must understand social media and participate on leading platforms.
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Internet required.
• Proficiency in Google Suite applications (Google Sheets, Forms, Docs, etc.) required.
• Excellent verbal and written communications skills.
• Must possess a positive ''can-do'' attitude, exemplary organizational skills and ability to juggle and prioritize multiple tasks ongoing and on deadlines.
• Must be able to interface and communicate professionally with poise around high profile clients and talent.
• Ability to create and maintain databases and other resources.
• Must be able to manage heavy workload, stay on top of emails and successfully see projects/tasks through to completion.
• Must be able and willing to work under minimal supervision and thrive in that environment.
• Must be detail-oriented and maintain confidentiality.
• Willingness to work occasional evenings and weekends, as needed depending on client events.
• Must be able to manage multiple tasks simultaneously under deadline
• Must be able to think strategically but also able to ''roll up your sleeves'' and figure it out.
