Take 3 Talent Agency, a mid-sized talent agency representing actors and models of all ages, is hiring an Office Assistant/Junior Bookkeeper to join the team. Our office is currently remote due to the COVID-19 pandemic, but once we are back in person, we will be based in Midtown Manhattan.
Position to start ASAP!
Qualifications:
- Bachelor's degree from an accredited university/college
- Excellent verbal and written communication skills
- Problem solving and decision making skills
- Great organizational skills
- Excellent time management/multitasking
- Ability to treat confidential information with the appropriate discretion
- Ability to work occasionally across time zones with both our east coast and west coast teams (this position is based in NYC)
Responsibilities include:
- Work directly with CFO, and occasionally with COO, CEO, and all talent agents
- Assist the CFO/Senior Accountant with all accounting work, including but not limited to creating/handling invoices, tracking down payments, commission tracking, ensure talent are paid in a timely manner, collecting highly sensitive documents, etc.
- Oversee the finding, hiring, onboarding, and training of all new seasonal interns
- Updating databases, filing systems, etc
- Monitor office supply levels and place orders as needed
- Handle all mail and packages received and pass along to the correct agent or executive
- Answering inbound phone calls and taking detailed messages
- Miscellaneous administrative duties, including but not limited to, assisting agents with audition emails, editing self-tapes and self-records, and more
- Purchasing and ensuring delivery of client opening night/premiere gifts
- Help coordinate in office events
- Running any occasional office errands
Preferred skills:
- 1+ years experience in an administrative assistant role
- Office experience in casting, talent agency/management, or accounting/finance
- Experience with QuickBooks
- Experience with office phones
- Experience with inEntertainment, Breakdown Express/Actors Access, & Casting Networks
- Experience with basic editing in iMovie and Audacity
Additional Information:
-We are currently remote due to the COVID-19 pandemic. Hoping to get back into the office setting in the fall.
-Hours are 10am-7pm Monday to Friday
-Should be available to start ASAP!
