Position Overview:
The Office Manager will be the linchpin of our operational efficiency, ensuring that our office environment supports our team's productivity and creativity. This role requires a proactive individual with strong property management experience, excellent organizational skills, and the ability to manage multiple tasks in a bustling production setting.
We are looking to fill this position by October 2024.
Key Responsibilities:
1. Facility Management:
- Oversee the daily operations of our 10,000 sq. ft. building, ensuring it is well-maintained and meets safety standards.
- Coordinate repairs, maintenance, and upgrades with vendors and contractors.
- Manage office supplies and equipment inventory, placing orders as necessary and ensuring cost-effective procurement.
2. Vendor Management:
- Serve as the primary point of contact for all office-related vendors, including maintenance, cleaning services, and utility providers.
- Negotiate contracts and manage relationships to ensure high-quality service and cost-efficiency.
3. Administrative Support:
- Handle office administrative duties, including scheduling meetings, coordinating events, and maintaining filing systems.
- Assist with onboarding and training of new staff members, including office-related procedures and policies.
4. Health and Safety Compliance:
- Ensure compliance with health and safety regulations, including conducting regular safety inspections and addressing any potential hazards.
- Implement and enforce office safety protocols and emergency procedures.
5. Team Support:
- Act as the main point of contact for office-related issues, addressing and resolving any concerns or needs from staff members.
- Facilitate a positive and productive work environment by managing office layout and amenities effectively.
6. Budget and Reporting:
- Manage the office budget, tracking expenses and ensuring adherence to financial guidelines.
- Prepare regular reports on office operations, including maintenance issues, budgetary concerns, and vendor performance.
Qualifications:
• Proven experience in office management or property management, preferably within a production or creative environment.
• Strong organizational and multitasking skills with the ability to manage a busy office setting effectively.
• Excellent communication and interpersonal skills, with a customer-service-oriented mindset.
• Proficiency in office software and technology, including Microsoft Office Suite and facility management software.
• Ability to handle sensitive and confidential information with discretion.
• High school diploma or equivalent; additional certification in property management or related field is a plus.
