How do I hire an Year- Round Receptionist? We are looking for a motivated, friendly, self-starter individual for our receptionist opening at Sundance Institute. This position offers the opportunity to work with all departments within our nonprofit organization that hosts the Sundance Film Festival. This position supports the Office Manager in maintaining all the functions of a busy office and every day is a little different. We're looking for someone equally able to warmly welcome guests to the office, gracefully handle questions/complaints from callers, and provide practical support to staff.
The ideal candidate will have a positive attitude, take initiative, and be diligent about performing even the most routine tasks. Experience in customer service or administration is a plus. Creative problem solving, patience, and a sense of humor will help you to succeed in this role.
Things on Your To-do List:
As a member of the Administration Team, the receptionist is expected to:
• Welcome, greets and assists all visitors and answers and routes all incoming calls to the Institute lines quickly and efficiently.
• Maintain an organized office environment by keeping the reception area, kitchen(s), office supply closets, mailrooms, restrooms, and conference rooms stocked, neat, clean and inviting throughout the day.
• Open office at the beginning of the workday and secures office at the end of the workday e.g. prepare coffee, stock restrooms, empty dishwashers, distribute faxes, mail, ensure lights and other electronics are off at the end of the day.
• Coordinate office-wide processes and needs.
• Assist Office Manager in planning and coordinating office-wide events and activities as assigned. May include office parties and other gatherings and events.
• Other duties as assigned.
Skills
You'll Need in Your Toolbox:
• 1 year administrative support experience in an office environment or related.
• Strong attention to detail and accuracy in recording, tracking and issuing information, etc.
• Outstanding communication skills, telephone, written and interpersonal skills required to work effectively with a wide variety of people.
• Strong customer skills with a focus on professionalism and attentiveness.
• Basic proficiency in Google Products, Excel and Word.
• Excellent organizational skills including self-management of work schedule – ability to multi-task in a fast-paced environment.
