Full Time Job
POSITION OVERVIEW
We are looking for a skilled Coordinator to provide full administrative support to the Executive Director, managing a complex schedule and all incoming requests and opportunities. The Coordinator is a scheduling liaison between the Director and all staff and external constituents.
This position works full time out of our Los Angeles office and will be required to work extended hours, including evenings and weekends, at key points throughout the year.The Executive Office Coordinator may also be required to travel during Festivals, Labs, and other Institute events to work onsite and accompany the Executive Director as needed. Must be able to lift and carry under ten pounds and see well enough to read reports and view video display terminals.
Top priorities for this position include, but aren't limited to:
Executive Director Support:
• Liaise between the Executive Director, Chief of Staff, internal staff and external stakeholders, managing the flow of information and requests.
• Prepare Executive Director for Board meetings and work closely with the Board Coordinator to support meeting preparations and Institute Trustees as needed.
• During the Festival, assist Director on a daily basis, administratively and otherwise, including managing daily calendar, coordinating attendance at events, prep for speaking engagements and press requests, coordinating transportation, etc.
• Screen all phone calls and roll calls for the Executive Director.
• Keep the Executive Director on task with meetings to ensure appropriately scheduled start times.
• Book travel and prepare detailed itineraries for the Executive Director.
• Draft and send written correspondence and coordinate gifts, thank-yous, and other follow-ups on behalf of the Executive Director.
Executive Office Support:
• Provide admin support to maintain the Executive Office budget and expenses, regularly submitting expense reports and reimbursement requests.
• Schedule and maintain a comprehensive calendar and assist in preparation and materials-creation for meetings.
• Collaborate with the Chief of Staff and supports COS-led projects as directed.
• Work with the Advancement team to facilitate Executive Director outreach to donors and prospects, including for Sundance benefits and other events.
• Establish and maintain relationships with other industry assistants.
• Assist with research and special projects, and provides additional support as requested.
• Maintain contacts and files for the Executive Director's office.
You have the following direct or transferable skill-sets:
• Legal authorization to work in the United States.
• 2 years of administrative or related work experience.
• Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies.
• Exceptional business writing skills.
• Supreme discretion, great judgment, and a warm personality.
• Grace under pressure and superior organizational skills.
• Project coordination skills, with an ability to manage multiple projects simultaneously.
• Must be able to maintain confidentiality and a professional demeanor.
• Must be proficient in basic software programs (MS Office, Google Applications).
• Ability to work mornings, nights, and weekends around events and key deadlines.
• Experience working directly with high-level donors and/or other high profile individuals.
• Interest in the arts and nonprofit administration.

PAY RATE: $19.66 hourly
