POSITION OVERVIEW
The Finance team is looking for a detail-oriented Coordinator to process Accounts Payable and Accounts Receivable for their assigned programs.The Coordinator will report directly to the Senior Manager of Revenue, while also working closely with the Senior Manager of Accounting and Reporting.
Hourly pay rate: $19.66
Top priorities for this position include:
Accounts Payable:
• Processes bi-weekly accounts payable (AP), includes entering invoices into the accounting system for payment and issuing checks, ACH payments, and wire transfers.
• Ensures invoices are received and distributed for review/approval process, new vendor records are entered into the financial system, and supplemental paperwork is received.
• Provides timely communications with vendors and/or staff regarding invoicing or account issues as they arise.
• Controls Los Angeles office credit cards, monitors their use, and reconciles corporate Visa statements monthly.
• Tracks and disburses petty cash for assigned programs.
• Provides monthly AP/AR Finance training to new Institute employees.
• Reconciles 1099 activity quarterly and assists with the annual preparation and distribution of 1099's.
Accounts Receivable:
• Compiles contributed and earned revenue on a daily basis from multiple sources.
• Performs analysis and data management of revenue and facilitates entry into Netsuite for review and approval.
• Processes daily deposits of checks and scans supporting documents.
• Maintains income received list and sends daily emails to staff.
• Creates invoices and submits to customers for payments.
• Maintains credit card allocations for the Institute's e-commerce accounts
• Researches and responds to e-commerce chargeback issues.
• Reviews past due receivables and follows up on collections.
• Supports the Finance Department with various processes e.g. calendar year end closing, annual audit, research and analysis, Film Festival responsibilities, etc.
• Other duties as assigned.
You have the following direct or transferable skill-sets:
• Legal authorization to work in the United States.
• 1-2 years accounting and/or banking experience.
• Working knowledge of Excel, Word, Gmail, Google Drive and Calendar.
• Excellent communication and interpersonal skills (written and verbal).
• A professional attitude and demeanor (tact, sensitivity, and diplomacy).
• Detail oriented, able to audit work to avoid mistakes, and perform tasks accurately.
• Ability to think and act quickly in a high volume and pressure environment.
• Proven organizational skills and ability to prioritize tasks.
• Strong customer service skills.
