Employment dates: Wednesday, December 18, 2019 thru Tuesday, February 4, 2020
Pay rate: $17.00 per hour
Considerations: This position works full time in our Los Angeles, CA office. Role is required to travel to work onsite in Park City during the Sundance Film Festival. Position is also required to work extended hours, including evenings, weekends, and some holidays as assigned.
Position General Summary: Coordinates logistics and supports administrative duties related to the Film Music Program and its activities during the Sundance Film Festival. This includes, but is not limited to: The Celebration of Music in Film concert, panels, performances, and alumni support.
Essential Job Functions and Duties:
• Coordinates activities related to the Celebration of Music and Film concert, both leading up to and during the Sundance Film Festival. This role ensures close collaboration between the Film Music Program and the Sundance operational and event teams supporting this event.
• Coordinates travel logistics for the Celebration concert talent, talent reps, and any Film Music Program alumni attending concert. This includes scheduling flights, securing and monitoring ground transportation, lodging, and obtaining any talent riders/requests/requirements.
• Facilitates securing rehearsal space as requested and communicates schedules with program staff leads, ops/events teams, and all participants.
• Assists onsite techs with sound checks as directed.
• Coordinates submitting requests and attaining required information for Film Music Program alumni and Celebration talent to secure Festival credentials and film/event tickets ready for handoff onsite.
• Works closely with Film Music Program Manager to draft and sent out invitations and guestlists.
• Supports ongoing communications with talent and team about various activities at the Festival.
• Works closely with the Manager to update, maintain, and troubleshoot the scheduling and logistics of Film Music events.
• Coordinates securing and scheduling ground transportation for the Team attending events during the Film Festival.
• Serves as department point person on external email communications.
• Supports with onsite program activities as assigned.
• Leads updating and maintaining the master shared contact grid and database.
• Facilitates internal and external requests for information on the Sundance Film Festival to ensure accurate information is disseminated and questions are answered.
• Other duties as assigned.
Position Requirements:
• Legal authorization to work in the United States.
• 2 years of experience coordinating administrative, logistical, or live events.
• Possesses excellent interpersonal, written and oral communication skills, and understands the implications their actions will have on the organization.
• Excellent organizational skills including self-management of work duties and deadlines.
• Must be able to maintain confidential information.
• Strong problem solving and conflict management skills.
• Ability to build strong relationships while working across the organization in order to drive results.
• Ability to work early mornings, nights and weekends around events and key deadlines.
Preferred Education
, Experience, and Skills:
• Experience with Festival and/or event planning and scheduling.
• Working knowledge of databases along with proficiency in Google Products.
• Proofreading online and print content.
