Seasonal Festival Coordinator, Sundance Industry Office
POSITION OVERVIEW
We are looking for a skilled coordinator to become our newest team member to facilitate industry members' Festival registration process and participation in Sundance's digital Festival. The ideal candidate will have outstanding written and verbal communication skills and operational, administrative, and customer service experience. Working closely under the direction of Manager, Industry Relations, you will support the Sundance Industry Office by coordinating department logistics and providing administrative assistance.
This position will be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and must be willing and available to respond to on-call needs as assigned. The majority of this position's work will be executed remotely but may be required to support in-person screenings during the Festival.
Top priorities for this position include, but aren't limited to:
Registration and Member Participation:
• Learn the internal registration process and database in order to assist members with registration.
• Send all external registration communications according to established timelines.
• Troubleshoot and resolve registration issues, working with internal departments when necessary.
• Coordinate process for new members, including sending out applications, conducting research, and routing reviews to Manager and/or Director.
• Maintain master registration document; updating and tracking order changes, cancellations, pass transfers, waitlist etc.
• Assist Manager in administration and tracking of Industry Alliance (corporate advancement program) benefits, including registration and ticketing.
• Assist Associate Manager with sales agent registration and ticketing.
• Use internal database to pull Press & Industry scanning reports and distribute them to sales agents during the Festival.
• Learn the specifics of the Online Festival platform in order to assist members with accessing premiere and on-demand screenings, troubleshooting where possible and working with customer/tech support as needed.
• During the Festival, provide timely customer service and support to members for both the Online Festival and in-person events, where those are able to occur.
Administrative Support:
• Maintain department inbox and respond to a high volume of email in a timely manner; follow internal process for organizing and escalating communications.
• Update all external communications with current Festival branding (including applicable supporting documents and guides).
• Handle distribution of SIO documents and information to internal departments as necessary.
• Update department look books and slide shows for internal presentations.
• Maintain and update member Festival resources (attendee list, screening schedules, film contact list).
• Proactively provide administrative and operational support to the team.
• Complete a comprehensive written wrap report.
You have the following direct or transferable skill-sets:
• Legal authorization to work in the United States.
• Two years operational, administrative, and customer service related experience.
• Outstanding written and verbal communication skills.
• Strong interpersonal and professional skills required to work effectively with a variety of people.
• Excellent organizational skills including self management of work schedule and ability to track a multitude of details.
• Must be able to maintain confidential information.
• Ability to work nights and weekends around events and key deadlines.
• Proficiency in Google Products and working knowledge of databases (such as FileMaker Pro) preferred.
• Basic knowledge of graphic design tools a plus.
• Knowledge of the independent film industry preferred.
