Festival Coordinator, Utah Office
POSITION OVERVIEW
The Festival Coordinator, Utah Office is charged with coordinating our Park City, UT office coverage, processes, and functions.
Working under the direction of the Festival Manager, Office Administration, this position will act as a first point of contact for the Sundance Institute. Creating a tidy, well-equipped, and welcoming environment for all employees and visitors alike.
This seasonal position works full time from January, 2024 through Friday, March 1, 2024 and will be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position is based out of our Park City, UT office in order to work onsite throughout its employment.
Top priorities include, but are not limited to...
• Welcoming, greeting and assisting all visitors (customers, clients, vendors, employees and other guests).
• Answering or routing all incoming calls to the appropriate department or personnel.
• Organizing the office environment by keeping the reception area, kitchen(s), supply/mailroom(s), restrooms, and conference rooms stocked, neat, clean and inviting throughout the day.
• Supporting health and safety initiatives by stocking a supply of masks, COVID-19 antigen tests, and hand sanitizer for staff during the Festival season.
• Supporting departments on the implementation of Festival specific tasks from shipping needs, parking passes, credentials and check-in processes, customer service support, and more.
• Coordinating office-wide processes and needs, including ordering office supplies, assisting in staff travel support, parking, recycling, storage, structural or system repairs, etc.
• Assisting with the review of the Park City office reception and general Institute email addresses, including responding to patron and vendor questions.
• Supporting the space and desk placements for all staff within the Utah office during the Festival season.
• Fulfilling any office item related needs for employees temporarily working out of an alternative location during the Festival.
• Assisting staff (virtually and in-person) with preparing, retrieving, notifying, and tracking FedEx and USPS (regular and bulk mailings), as well as retrieving P.O. Box mail regularly.
• Supporting the office's security system by activating/deactivating keycards and permitting people into the office space.
• Organizing onsite storage rooms to include cross-departmental collaboration, security measures, and consistent reviews and updates to active inventory lists.
• Staying up to date on Institute general information, programs, and Festival specific information such as submission timelines, deadlines, ticketing.
• Maintaining, updating, and organizing shared drives, folders, and key procedural documents related to the Office Administration team.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 2 years of administrative experience.
• Strong attention to detail and accuracy in recording, tracking, and issuing information.
• Outstanding written, verbal, and interpersonal communication skills to work effectively with a wide variety of people.
• Skilled in project management including the ability to manage and prioritize to meet simultaneous deadlines.
• Working knowledge of and proficiency in Google Products
• Ability to maintain confidential information.
