Festival Coordinator Volunteer Resources - Careers At Sundance Institute
POSITION OVERVIEW
The Festival Coordinator, Volunteer Resources is charged with working as part of a team to recruit, place, and onboard volunteers to support the operations of the Sundance Film Festival.
Working closely under the direction of the Senior Manager, Talent, the Festival Coordinator, Volunteer Resources supports Sundance Institute's commitment to recruiting and retaining outstanding talent to join our teams. This position will provide excellent support and communication for a large group of assigned volunteers.
This temporary position works full time from Wednesday, October 16, 2024 through Friday, February 21, 2025 and will be required to work extended hours, including evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position must be based within a commutable distance to our Park City, UT office in order to work onsite in a hybrid capacity throughout its employment. There will be ample opportunity for remote work leading up to the Festival in January.
A total of three (3) roles are available. Each Coordinator will be responsible for working with different teams and venues to understand their needs and place volunteers across the Sundance Film Festival.
Top priorities include but are not limited to...
• Driving the full cycle recruitment process, including sourcing, assessing volunteer applications, interviewing, and placing volunteers to best meet the needs of the Festival.
• Working with assigned Festival teams to understand their needs and place qualified candidates in roles.
• Fostering strong relationships through all forms of communications with candidates.
• Communicating clearly and consistently with Festival teams regarding their volunteer needs and placement.
• Providing support as well as accountability with Festival teams to ensure alignment with department processes.
• Providing ongoing and accurate information to assigned groups of volunteers (350 ) and timely responses to their inquiries.
• Supporting recruitment plans and processes to encourage diversity and increase accessibility within the organization.
• Collaborating closely with the Senior Manager, Talent and Accommodations teams to accurately distribute and report on Festival provided lodging for eligible volunteers.
• Communicating expectations and accountability on a regular basis with volunteers to support an effective and positive volunteer experience.
• Assisting with tracking, building, and facilitating training sessions.
• Auditing, tracking, and monitoring volunteer schedules, attendance, and absences via our online scheduling system.
• Establishing and maintaining partnerships internally and externally with universities and community organizations to build talent pipelines.
• Entering information in volunteer databases daily, maintaining up-to-date and accurate information.
• Ensuring Festival teams are empowered to provide comprehensive feedback to volunteers and hold them accountable.
• Tracking and distributing volunteer benefits based on volunteer commitment levels
• Conducting venue visits throughout the Festival to check-in with volunteers and provide timely resolution to challenges as they arise.
• Providing on-call after hour coverage during the Festival to answer volunteer related questions, concerns, or emergencies as necessary.
• Reviewing submitted volunteer evaluations with departments and conducting follow-up to compile relevant information as needed.
• Writing a comprehensive wrap report, as directed.
• Supporting ongoing Talent Team and Festival projects.
You have the following direct or transferable skill-sets:
• Legal authorization to work in the United States.
• 1-2 years of related work experience.
• Excellent written, verbal, and interpersonal and communications skills to effectively influence individuals of varying backgrounds and learning styles.
• Ability to maintain confidential information.
• Excellent organizational skills, with the ability to manage multiple projects and prioritize.
• Proficiency in Google and Microsoft Office applications.
• Ability to take initiative and strong analytical skills.
• Experience with databases and FileMaker Pro a plus.
• Prior experience working with volunteers a plus.
