POSITION OVERVIEW
The Festival Coordinator, Press Materials and Operations is charged with managing all publicity materials for Festival films, projects, and artists, as well as coordinating various administrative tasks for the Press Office team.
Working closely under the direction of the Festival Manager, Press Office, this role receives, processes, and organizes key press assets for internal departments and external use.
This temporary position works full time from Wednesday, November 6, 2024 through Tuesday, February 4, 2025 or Friday, February 14, 2025 and will be required to work extended hours, including evenings and weekends to meet key deadlines and respond to on-call needs. This position must be based within a communicable distance to our Park City, UT office in order to work onsite in a hybrid capacity throughout its employment. There will be ample opportunity for remote work leading up to the Festival in January. A total of two (2) roles are available.
Top priorities include but are not limited to?
• Liaising with film teams to gather and organize various publicity materials encompassing the full Festival program such as film stills, director headshots, digital posters, trailers, and clips. Regularly and clearly communicating updates and details with various internal departments.
• Uploading images and clips of approved materials for use across areas, including program guide, press releases, media coverage, Festival publications, website, and media asset websites such as Dropbox and Flickr.
• Handling overall processing of press line and event photos during the Festival in a timely manner, including coordinating delivery details with internal teams, downloading materials, prioritizing and organizing many assets, servicing for internal approvals and keeping track of edits, uploading for external use and tagging content.
• Creating, printing, and distributing face sheets for press lines and events.
• Preparing and delivering publicity materials, including distributing photos and videos in tight turn-around times throughout the Festival.
• Using Photoshop, Lightroom, Bridge, the entire Adobe Suite and Google Products as well as Reach Engine, Flickr, Dropbox, and Frame.io to reformat and convert media into additional formats and share materials as required.
• Establishing cross-departmental workflows and labeling mechanisms for efficient distribution of assets, and staying coordinated and communicative on priority materials and timelines.
• Supporting the Press Office's presence at Festival Headquarters, including but not limited to administrative needs requested by the team.
• Assisting in managing the online press site which includes monitoring and helping to prioritize media requests, managing media materials and staying up-to-date on latest updates.
• Spearheading the press interview space with external teams, including scheduling, confirmations, and onsite staffing.
• Working with the Press Office team to coordinate and organize information for internal and external reference as needed, such as press line details, press clippings, publicist contact information, ticketing request forms, and additional details.
• Supporting press outreach and interview coordination.
• Completing a comprehensive written wrap report.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 2 years experience handling, editing, and organizing media materials or related.
• Fluency with Photoshop and Adobe Suite preferred, and use of Dropbox, Flickr and Frame.io.
• Working knowledge of databases along with proficiency in Google Products.
• Excellent organizational skills with the capability to work independently.
• Ability to prioritize effectively with strong time management skills.
• Outstanding verbal, written, and interpersonal communication skills required to work effectively with a variety of people.
• Ability to maintain confidential information required.
