Full Time Job
Employment Dates: 9/19/2018-2/22/2019
Considerations: This position works full time out of our Park City, UT office. May be lodged in Park City during the January Film Festival. Required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned.
Position Summary: Coordinates guest relations planning and facilitates onsite guest check-in for the Artist at the Table benefit event.
Duties and Responsibilities:
Coordinates all guests relations, including communications prior to the event and responds to guest inquiries received via email and phone preferably within 24 hours.
Collects and tracks ticket and table purchases and donations, guest contact information, waitlists and RSVP information.
Runs onsite event check-in, including directing working staff and volunteers, tracking and disbursing tickets to guests.
Works closely with event coordinator on crossover of duties and provides support as necessary.
Plans and arranges seating assignments and coordinates day of event seating with executive office and advancement department.
Processes revenue with finance department, includes maintaining revenue tracking document and reconciling post event revenue.
Researches and compiles guest and artist bios and distributes internally to working staff and Board of Trustees.
Works with advancement department to ensure donor transactions and event details are processed and entered into database and to generate tax acknowledgement letters.
Coordinates with marketing to design and order event collateral.
Provides onsite assistance to the marketing, social media, and media relations departments.
Provides support to the Associate Director, Events and Sr. Manager, Events as directed.
Supports other event team members as directed.
Completes a comprehensive written wrap report as directed.
Other duties as assigned.
Position Requirements:
Legal authorization to work in the United States.
2 years administrative experience.
Outstanding communication skills, verbal and written.
Strong interpersonal and professional skills required to work effectively with a variety of people.
Excellent organizational skills including self management of work schedule.
Must be able to maintain confidential information.
Ability to work nights and weekends around events and key deadlines.
Preferred Education
, Experience and Skills:
Working knowledge of databases along with proficiency in Google Products.
Experience working with donors and board members.
Experience with tracking and maintaining budgets.
