POSITION OVERVIEW
The Coordinator to Director, Sundance Film Festival and Public Programming provides full administrative support to the Director, managing a complex schedule and all incoming requests, questions, and opportunities. This position also works closely with the Producer, Sundance Film Festival and Public Programming to ensure cross-departmental communication, especially with regard to Festival Planning and the distribution of critical information across the Institute.
Working closely under the Director and collaborating with staff across the organization, the Coordinator acts as a trusted liaison between the Director, all internal staff, and external constituents.
This full-time position may work remotely from within any of our operating states, but preference will be given to candidates based in the greater Los Angeles, CA; Boulder, CO; or New York, NY areas in order to work onsite as needed throughout the year. Extended hours, including evenings and weekends will be required at key points. Travel to other Institute offices or events to support onsite at Festivals, Labs, Public Programs will be required.
Top priorities include but are not limited to?
• Acting as a liaison between the Director, Producer, internal staff, and external stakeholders, managing the flow of information, requests, and reminders.
• Keeping the Director and Producer on task by ensuring meetings start on time and remain on schedule, attending meetings on their behalf during conflicts, and representing them as needed.
• Scheduling and maintaining a comprehensive calendar and assisting in the preparation and creation of meeting materials.
• Booking heavy travel and preparing detailed itineraries for the Director, including travel details and logistics.
• Managing expenses, regularly submitting expense reports and reimbursement requests.
• Preparing the Director for all meetings and onsite engagements, including board and leadership meetings.
• Accompanying the Director to the Sundance Film Festival and other events as needed to provide onsite support.
• Coordinating logistics with other departments on assigned events, such as filmmaker orientations and public programming events
• Acting as the main point of contact for the Director in regard to media, interviews, and other appearance requests.
• During the Festival and other events, accompanying the Director to all events and screenings, providing daily assistance administratively and otherwise, including managing a daily calendar, coordinating attendance at events, coordinating transportation, prepping the director for speaking engagements and press requests.
• Drafting and sending written correspondence, and coordinating thank-yous and other follow-ups on behalf of the Director.
• Assisting with research and special projects, and providing additional support as requested.
• Maintaining contacts and files for the Director's office.
• Establishing and maintaining relationships with other industry assistants.
• In partnership with other Coordinators on the greater Public Programming team, managing the Programming email address, including routing inquiries and fielding questions and requests.
• Supporting Satellite festival planning, including attending meetings, tracking information, and flagging necessary updates and actions for the Director.
• Fostering cross-departmental communication by working closely with the Producer and Director on key updates, planning, and the distribution of critical information, preemptively working to identify and address gaps as they occur.
You have the following direct or transferable skill sets:
• 2 years of experience providing high level administrative support to an executive or related.
• Strong interpersonal and communication skills to work effectively with a wide range of constituencies.
• Exceptional business writing skills.
• Excellent organizational skills and attention to detail.
• Project coordination skills, with an ability to manage multiple projects simultaneously.
• Ability to maintain confidentiality and act with discretion.
• Proficiency in basic software programs such as MS Office and Google Applications.
• Experience working directly with high-level donors or other high profile individuals preferred.
• Interest in the arts and nonprofit administration and strong knowledge of independent film preferred.
• Legal authorization to work in the United States.

*Final rate of pay is determined based on the applicant's geographic location, relevant experience and skills, and internal equity among similar positions within our organization.
