Temporary Coordinator Partnerships & Activations - Careers At Sundance Institute
POSITION OVERVIEW
The Temporary Coordinator, Partnerships & Activations provides administrative, operational, and project coordination support to the Partnerships team during a period of organizational transition and growth.
Reporting to the Associate Director, Partnership Marketing, this temporary position supports partnership activations, local partnership initiatives, budget administration, project coordination, and Festival planning efforts that contribute to successful partner experiences across Sundance Institute's Festival and year-round programs.
This position is intended to provide additional team capacity while Sundance Institute recruits and hires permanent leadership positions within the Partnerships & Activations function.
The temporary position works full time (40 hours per week) and is expected to begin as soon as possible and continue through Friday, August 28, 2026 and must be based within a commutable distance to Boulder, CO. While there are opportunities for work to be performed remotely, this position will need to work onsite at key points throughout the duration of employment. Extended hours, including evenings and weekends will be required at key points to meet deadlines and respond to on-call needs as assigned.
Top priorities include but are not limited to:
• Supporting day-to-day coordination of partnership activation projects, local partnership initiatives, and departmental priorities.
• Maintaining project timelines, tracking documents, contact lists, partnership records, and other departmental resources.
• Assisting with scheduling meetings, preparing materials, documenting action items, and coordinating follow-up activities.
• Supporting internal communication and coordination across departments involved in partnership initiatives.
• Processing invoices, purchase requests, reimbursements, and vendor documentation.
• Maintaining expense tracking reports and assisting with budget monitoring activities.
• Supporting contract administration, document management, and departmental recordkeeping.
• Assisting with preparation of reports, presentations, and other administrative materials.
• Assisting with planning and coordination of sponsor activations, partner experiences, and related operational projects.
• Coordinating logistics, timelines, materials, and stakeholder communications associated with partnership initiatives.
• Supporting onsite event execution and partner hospitality activities as needed.
• Assisting with tracking partnership deliverables and fulfillment requirements.
• Assisting with coordination of local business outreach and community partnership activities.
• Supporting maintenance of local partnership records, communications, and engagement efforts.
• Helping coordinate recognition, benefit fulfillment, and stakeholder communications for local partnership initiatives.
• Collaborating effectively with members of the Partnerships team and cross-functional stakeholders.
• Performing other duties and special projects as assigned in support of departmental priorities and organizational goals.
You have the following direct or transferable qualifications and skills:
• 2 years of experience in project coordination, event support, partnership support, administration, nonprofit programs, marketing, communications, or related work.
• Strong organizational skills and ability to manage multiple priorities and deadlines.
• Strong written and verbal communication skills.
• Experience maintaining records, tracking systems, spreadsheets, budgets, or administrative processes.
• Strong attention to detail and commitment to accuracy.
• Proficiency with Microsoft Office, Google Workspace, and related business software.
• Ability to work collaboratively across teams while managing assigned responsibilities independently.
• Legal authorization to work in the United States.
