POSITION OVERVIEW
The Coordinator, Equity and Inclusion is charged with supporting the planning and implementation of departmental initiatives and operations related to racial equity and outreach & inclusion. This position will also provide project oversight as directed.
With dual reporting lines to the Director, Outreach & Inclusion and the Senior Manager, Racial Equity, the Coordinator will perform administrative duties including, but not limited to, meeting and calendar management, written and verbal correspondence, expense reporting, and program planning and implementation. Additionally, the Coordinator will support a full range racial equity initiatives and artist support programs, including those managed by other team members.
This full-time position is completely remote with the possibility of extended work hours, including evenings, and weekends, may be required at key points throughout the year. This role must be based in one of the states we are currently able to operate, which include AZ, CA, CO, CT, FL, GA, IL, IN, LA, MA, NE, NJ, NY, OR, PA, TX, UT, VA, WA, and District of Columbia.
Top priorities include but are not limited to…
• Providing administrative support to both the Outreach & Inclusion (O&I) and Racial Equity Departments and the program's Directors, including scheduling meetings, managing calendars, and correspondences, implementing internal department meeting structure (agendas, notes and minutes, report backs), preparing grant letters, payment forms, and processing expense reports for department activities.
• Acting as a main point of contact and liaison for the departments and stakeholders (internal and external) involved to answer questions, detail department processes, and route needs.
• Following up on and facilitating internal and external communications for the departments.
• Drafting, editing, and proofreading materials for reports and presentations.
• Initiating and seeing through processing of payment forms and contracts, routing for approval to the Finance and Legal Departments.
• Coordinating the intake and review process for O&I artist program submissions, including maintaining the online application, tracking submitted materials, and corresponding with applicants.
• Coordinating logistics for various events and artist programs, including assisting in travel planning, the development of presentation materials, necessary research for department participation at external events, as well as operational support to Sundance-produced and hosted events, including Labs, Intensives, Fellowship gatherings, and partner organization convenings.
• Conducting research projects, collecting and analyzing artist demographics and program metrics, and tracking and entering data into department databases.
• Creating program materials, including collecting, updating, editing, and tracking information to be included in schedules, bios, and photos for print and/or online publication.
• Collaborating with teams to ideate and propose engagement initiatives for BIPOC staff.
• Planning the coordination of focus groups, capacity building workshops, and equity trainings in collaboration with counterparts from partner organizations.
• Supporting BIPOC staff in registering for external training and development opportunities.
• Tracking and recording staff utilization of both BIPOC staff and development funds.
• Conducting and analyzing research to understand which external trainings and/or stakeholders can best support programmatic goals.
• Overseeing the process of tracking and monitoring department project work plans, including objectives, tasks and time frames, to ensure deliverables are completed on time.
• Participating in Institute meetings and brainstorms regarding internal- and external- facing racial equity strategies.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 2 years of administrative, nonprofit program coordination, or related experience.
• Excellent organizational skills including meeting deadlines, following through on tasks, and strong attention to detail and accuracy in recording, tracking, and issuing information.
• Detailed-oriented, with strong written and verbal communication skills.
• Ability to take initiative and work independently.
• Working knowledge of Microsoft Office and Google products.
• Ability to work effectively in a fast-moving environment.
• Ability to maintain confidential information.
• Enthusiasm for and interest in racial equity, arts, culture, independent media, and/or film.
• Prior Diversity, Equity, and Inclusion (DEI) or racial justice training participation preferred.
