POSITION OVERVIEW
With the Director, Festival Artist Relations, and the Manager, Festival Artist Relations, the Associate Manager, Festival Artist Relations, is a part of the department's administration team, working to ensure the department supports an excellent experience for our artists leading up to, during, and following the Festival.
Working closely under the Manager, Festival Artist Relations, the Festival Associate Manager will support department and interdepartment timelines, procedures, and employees to ensure administrative, operational, and strategic goals and deadlines are met.
This temporary position works full time from Wednesday, October 15, 2025 through Wednesday, February 18, 2026 and will be required to work extended hours, including evenings and weekends to meet key deadlines and respond to on-call needs. This position must be based within a commutable distance to our Park City, UT office in order to work onsite in a hybrid capacity throughout its employment. There will be ample opportunity for remote work leading up to the Festival in January.
Top priorities include, but are not limited to...
• Managing the department calendar and external departmental email communications, scheduling team trainings, and preparing agendas and materials.
• Updating department manuals, training, and resource materials, etc.
• Implementing Post Acceptance Form (PAF) and Festival Program Guide (FPG), Festival Content Management System (CMS) training; supporting Artist Relations Liaisons with all PAF and CMS-related work.
• Setting up mail merge for large scale external communications as well as formulas across google sheets to minimize manual updating, and understanding of how to work in the CMS.
• Providing general direction and support to Artist Relations Liaisons as needed.
• Taking initiative during periods of peak activity to help keep the department organized and identify main goals and upcoming deadlines for Liaisons.
• Facilitating departmental expenses including artist benefits; stipends, honoraria, air travel, and transportation.
• Preparing and providing Artist Relations departmental information, input and deliverables to internal stakeholders as requested and as needed.
• Supporting Press Office, Marketing, and Publications workflows and deadlines related to Artist Relations.
• Coordinating Artist Relations elements within the Utah Community Program including collaborating closely with this team and serving as point for key logistics.
• Creating and maintaining department tracking documents; including collaborating with multiple Festival departments; Programming, Tech Services, Operations, Production, Venues, Events, Press Office, and others.
• Collaborating with the internal ticketing team; managing workflows related to credentials, screening tickets, artist packages and passes for the department.
• Managing the participation agreement process, including working in DocuSign to collect and track signed Festival agreements and releases for the department.
• Participating as a Festival operational team member to plan and execute Festival activations and events, working closely with teams across the Institute including, Festival Program, Operations, Events, and Advancement.
• Managing a team of Festival volunteers, including collaborating with the Volunteer Resources department to secure volunteers and submit evaluations while providing clear communication, onsite training, direction, and feedback to ensure volunteers understand responsibilities and are effective in their roles.
• Assisting with Sundance Institute Alumni communication, including proofreading and rolling out correspondence, managing credentials and other Festival benefits, and training volunteers on in-person Alumni activation at the Artist, Industry, and Press Hub.
• Supporting administration duties related to the department's Festival office.
• Coordinating contracted Artist Relations fleet transportation and interpreters workflow.
• Writing a comprehensive departmental wrap report and building a post-Festival artist survey.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 3 years of experience managing administrative functions for an executive, office, or related experience.
• Strong verbal, written, and interpersonal communication skills to work effectively with a variety of people.
• Excellent organizational and project management skills, with the ability to prioritize.
• Ability to maintain confidential information.
• Leadership skills and experience working effectively on a team.
• Working knowledge of databases along with proficiency in Google Products.
• Prior experience maintaining a budget is preferred.
• Experience proofreading online and print content preferred.
