We are an LA-based award-winning advertising agency and production company specializing in producing marketing, advertising and promotion campaigns which engage, compel and activate viewers. This position is ideal for someone looking to build a career in advertising, design or entertainment/media. The position requires excellent communication, problem solving and organizational skills.
The ideal candidate must be a highly organized, detail-oriented individual with strong administrative skills with the ability to multi-task and be calm under pressure. This individual is responsible for the day-to-day administrative functioning of the Executive office. Must communicate effectively internally and externally and be comfortable working in a fast paced, deadline driven environment.
Duties include:
-Communicate and work closely with three (3) executives managing schedules, set up appointments and maintain call logs; Work closely with staff to help facilitate internal meetings; Book and manage all aspects of executives' travel arrangements; Candidate must have excellent time management skills and be meticulous about follow through on tasks; Must be proactive with the ability to use good judgment; Ability to multi-task in a fast-faced environment and to accurately assess priorities; Must have excellent people skills and be client/customer focused; Handle heavy telephone activity; Answer phones promptly with a positive, welcoming demeanor; Assist in managing and updating client database; Provide backup telephone and office managing support to the Office Administrative Coordinator/Receptionist; Prepare Executives' expense reports; Work seamlessly with other coordinators on multi-department projects; Must have an interest in and develop a familiarity with projects produced in-house.
Skills Required: Familiarity with Mac Software; Microsoft Office (Word, Outlook, PowerPoint); Excel Proficient; Strong internet research skills; Knowledge of administrative office procedures; Excellent Customer Service Skills; and Strong organizational skills.
