This is a Full Time Job
The administrative assistant will provide a wide range of administrative support to management and feel comfortable interacting with all levels of staff and clients. The successful candidate will have a positive attitude, be proactive and have a no-task-too-small mindset. This is a demanding and fast- moving position that requires someone who can exercise good judgement and significant initiative.
Skills and Qualifications
• Excellent communication and customer service skills-written and oral (must have a professional and courteous demeanor)
• Must be a self-starter with a team player attitude
• Discretion, dependability and attention to detail are required
• Must be flexible-an ability to work well in an environment where needs and priorities are subject to much revision
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• The ability to work in high pressure situations
• Excellent organization and interpersonal skills
• Strong Computer Skill, proficiency in Microsoft Office (Word, Excel, Outlook) Dropbox, QuickBooks
The Role
• Handle orders via Phone & E-mail and create estimates based on orders
• Reconciling Files
• Create new spreadsheets for purchase orders and update existing ones
• Keep track of overdue POs and enter POs into QuickBooks
• Mailing invoices
• Keep warehouse files and paperwork up to date, maintaining correspondence with warehouse throughout.
• Keep track of petty cash-entering purchases into spreasheet and filing receipts.
• Perform clerical duties such as filing, photocopying and collating
• Other general administrative duties (supply ordering, processing mail, organizing and maintaining the office space)
