Full-time position; 50% remote / 40% on-location in LA / 10% travel
Seeking a very special ''superhero organizer'' packaged as a highly passionate Production Manager/Producer's Assistant based in LA to start immediately.
The position:
This is a rare opportunity for the right candidate to join this musical production company and grow in tandem as this music spreads from LA to symphony orchestras and venues around the world, and as this vibrant artistic network expands. You will be the production manager and communication epicenter, responsible for an environment in which the artists can perform at the highest level, and liaising with presenters, talent and producer. You will be personal assistant to the producer, executing directives and tasks and eventually being able to anticipate them.
Your role will span across three exciting areas of activity within this company:
1. Touring productions with symphony orchestras worldwide (2-3 per month, each with a different touring package):
- Handle advancing and recap: communicating production requirements/tech riders/hospitality riders to presenter, advancing marketing materials and merchandise, then following up for sales reports and data
- Be the main point of contact for talent: handling booking of travel and advancing of itineraries
- Maintain a database of show history, with all relevant information and links
- Maintain a database of talent personnel complete with links to essential information and assets
Generally, all this work is done remotely from LA, however occasional travel (2-3X per year) is required
2. Self-presented productions and collaborations with contemporary artists (6-8 per year)
- All of the above apply here, but even more logistical and coordination support is required
- Participate with the team in developing the vision for these self-presentations
- Oversee and coordinate all elements, which may include the build/installation/rental of stage, audio, lighting, video, etc.
- Coordinate with the production team of a popular artist in advance of a collaboration to understand and execute on all logistical elements
This category will require you to be on-site, whether in LA or traveling to other markets, overseeing everything, managing vendors and talent, and solving problems. There are quarterly self-presented shows in LA and sporadic private presentations in other markets, including a summer series in beautiful Sun Valley, Idaho.
3. Recording sessions: 10-12 per year
- Ranging from string quartet to brass section to full orchestra, you will be responsible for communicating pertinent information to talent personnel (musicians) and liaising with the recording studio to provide all necessary information
- Coordinate with copyists and printers for the preparation and printing of the music
- Order lunch/dinner for artists, if necessary
- Maintain a personnel database of talent
You will be required to be in-studio, providing logistical support and being a runner/assistant for music director.
The ideal candidate:
- Has 5+ years' experience in live music production and/or talent management
- Has exposure to a variety of musical enterprises, ideally within both classical music and contemporary popular music
- Is an excellent communicator and understands the nuances of communicating with artists vs vendors vs clients
- Understands acutely the environment of a production run- from initial planning to rehearsals to show day- and has an innate feel for what is needed at all times from artists, presenters and vendors
- Is a problem-solver and takes initiative to do so
- Wants to be the go-to person for all logistical questions and is the kind of person that people enjoy turning to
- Is highly competent with Google Workspace/Microsoft Office- creating docs and spreadsheets, to-do lists, taking notes, and maintaining databases
- Has experience using Keynote or Google to build decks and presentations
- Is obsessively organized and thrives dealing with numbers and data
- Is an excellent writer and a relentless proofreader of correspondence
- Thrives behind the computer with logistics- booking flights, making itineraries, sending emails, making orders, creating budgets and outlining plans
- Thrives in-person with artists in a high-pressure and exciting environment- wrangling personnel, overseeing production builds, running errands, printing music, making food orders, shuttling artists, ensuring that the production is on schedule
- Is comfortable with the personal assistant and personnel management aspect, being on hand at all times to solve problems, perform tasks whether big or small, and act quickly to make sure productions are running smoothly
