Seeking a very special ''superhero organizer'' packaged as a highly passionate PRODUCTION COORDINATOR/ASSISTANT based in LA to start immediately.
Part-time position; 50% remote / 40% on-location in LA / 10% travel
The company:
Steve Hackman is a critically acclaimed and boundary-breaking musical composer/conductor/producer whose productions blend the classical and popular musical worlds in an innovative and groundbreaking way. He convenes world-class talent and brings his productions, such as 'Brahms X. Radiohead' and 'The Resurrection Mixtape' (Mahler X Notorious BIG X Tupac Shakur), to symphony orchestras around the world. He collaborates with some of the most creative artists of today, including Steve Lacy, Doja Cat, etc., both in the studio and on stage, adding a signature classical dimension to their music. His underground original music productions, known as THE BRINK, are gaining momentum as a must-see phenomenon in Los Angeles, attracting influential figures from the entertainment industry and generating anticipation for a global impact.
The position:
This is a rare opportunity for the right candidate to join this musical production company and grow and develop in tandem as this music spreads from LA to symphony orchestras and venues around the world. You will be the PRODUCTION COORDINATOR/ASSISTANT, responsible for the coordination of and communication with talent: booking travel, creating itineraries, making reservations, etc. You will take directives from and be the assistant to the Head of Production and Music Director/Producer, executing tasks and eventually being able to anticipate them.
Details of your role within the three categories of this company's productions:
1. Touring productions with symphony orchestras worldwide (2-3 per month, each with a different touring package):
• Be the main point of contact and logistical support for talent: communicating dates of service, handling booking of travel and advancing of itineraries, and being on call for general artist assistance during production run
• Coordinate hospitality and meal orders, make reservations for post-concert dinners, etc.
• Keep track of receipts, expenses and owed performance fees and communicate them to business management
Generally, all this work is done remotely from LA, however occasional travel (4-6X per year) is required
2. Self-presented productions in LA and other markets and collaborations with current popular artists (6-8 per year)
• All of the above apply here, but even more logistical and coordination support is required
This category will require you to be on-site, whether in LA or traveling to other markets, being a runner and solving problems. There are quarterly self-presented shows in LA and plans are currently underway for a series of self-presentations in New York and Chicago. There is also a summer series in beautiful Sun Valley, Idaho.
3. Recording sessions: 5-7 per year
• Communicate pertinent information to talent personnel (musicians) and liaising with the recording studio to provide all necessary information
• Coordinate with copyists and printers for the preparation and printing of the music
• Order lunch/dinner for artists, if necessary
You will be required to be in-studio, providing logistical support and being a runner/assistant for music director.
The ideal candidate:
• Has 5+ years' experience in tour management, talent management or personnel management
• Is an excellent communicator and understands the nuances of communicating with artists vs vendors vs clients
• Is a problem-solver and takes initiative to do so
• Wants to be the go-to person for all logistical questions and is the kind of person that people enjoy turning to
• Understands acutely the environment of a production run- from initial planning to rehearsals to show day- and has an innate feel for what is needed at all times from artists, presenters and vendors
• Thrives behind the computer with logistics- booking flights, making itineraries, sending emails, making orders, creating budgets and outlining plans
• Thrives in-person with artists in a high-pressure and exciting environment- wrangling personnel, overseeing production builds, running errands, printing music, making food orders, shuttling artists, ensuring that the production is on schedule
• Has exposure to a variety of musical enterprises, ideally within both classical music and contemporary popular music
• Is highly competent with Google Workspace/Microsoft Office- creating docs and spreadsheets, to-do lists, taking notes, and maintaining databases
• Has experience using Keynote or Google to build decks and presentations
• Is obsessively organized and thrives dealing with numbers and data
• Is an excellent writer and a relentless proofreader of correspondence
• Is comfortable with the personal assistant and personnel management aspect, being on hand at all times to solve problems, perform tasks whether big or small, and act quickly to make sure productions are running smoothly
Part-time position. Salary will be competitive and commensurate with experience.
