Personal Assistant Job Description/Call for Qualified Applicants
To Start: ASAP
Schedule: 4 hours/day, 6 days/wk, plus 6-8 flex hrs/mo., occasional business travel tbd. Most hours will be remote
Description/Experience/Qualifications: Writer/ Entrepreneur/ Activist in search for a Personal Assistant with at least 3+ years of assisting experience. Someone professional, savvy, politically & culturally aware. A person who can hit the ground running with ideas, systems and solutions for everything from home organization, to email & calendaring, as well as things like business communications and research support, and beyond. This candidate should be able to oversee staff (housekeeper, etc.), schedule personal and professional appointments for the principal, and assist with travel booking, gifting, holiday planning, etc.-a true personal assistant and jack of all trades who can make sure the Principal is always organized and on top of her personal life, business ventures, and lifestyle maintenance.
Key Duties:
• Oversee Principals' personal schedule and liaise with Principal's Business and Philanthropic Administrative Managers etc. to ensure
complete coordination of scheduling and logistics
• Book appointments for Principal and keep track of when next appointments should be booked
•Daily brief of schedule to Principal with review as requested; look-ahead scheduling updates/bookings/etc.
•Develop various virtual and in person organizational systems for home and office
• Ensure Principal fulfills all deliverables by recommending timelines (direction from business/philanthropy/brand execs) and creating necessary reminders directly for Principal
• Secure contact information for key individuals Principal is in conversation with/meeting with/looking to connect with and add to Operations database; make the appropriate email/contact introductions to the internal business or philanthropy team based on the nature of the contact.
• Run errands including mail and package pick-up, stocking groceries and house inventory, buying gifts, picking up food, etc.
• Keep track of home and grocery inventory
Support with managing home/lifestyle in Brooklyn, NY, Ohio (US) and Jamaica
•Keep track of upcoming birthdays and help select and deliver gifts as requested
• Plan dinner parties/holidays/gatherings. Assist in all elements of planning, organizing, coordination and flawless execution day of event
• Assist with maintaining the home and scheduling vendors for repairs and service
• Open and log mail
• Make sure cars are properly maintained and cleaned
• Plan and book travel
research and support arranging annual trips and one off vacations
• Manage all ''day of'' travel changes while on the road.
• Communicate with hotel staff, drivers, and airline personnel as needed on the road, to ensure smooth travel for Principal.
• Ensure Principal arrives on time to all confirmed commitments; and notify designated Point of Contact if Principal will be arriving late for any reason.
• Track spending, petty cash, and receipts to provide reports monthly to Financial Manager.
