Full Time Job
Role Purpose:
Act as support to members of the sponsorship team, specifically in business development and client services. This person will be responsible for managing and delivering assets to Sponsorship clients that are granted in their marketing package including but not limited to, logo placement and branding elements, event descriptions, ads, social media support etc. This person will work closely with various SXSW departments including Brand & Marketing, Art, Client Events and Sales to ensure all sponsor related social media content, web content, banner logo order, SXSW marks and logo usages, and the coordination of sponsorship ads in various SXSW print and digital publications are delivered and executed properly. This person will also be responsible for updating Sponsor team tracking documents, client deliverable timelines and performing various administrative duties on behalf of the sponsorship team.
Job Duties include:
• Sponsor Deliverable Timeline – Review contract to create accurate and custom client timeline with a complete list of sponsor assets and due dates, update throughout the SXSW season as deadlines are met, update SXSW contact sheet as new team members join Sponsorship
• Assist the Sponsorship team in prospect and lead tracking, update all relevant prospect documents and Sugar CRM
• Coordinate with sponsorship clients to ensure all social media and web content assets are delivered on time and vet verbiage for nomenclature errors
• Coordinate with the Brand & Marketing Group to maintain sponsor social media scheduling/calendar
• Wrk with Director of Communications, Legal and Art for sponsor blog language, ad approval and scheduling to ensure SXSW editorial integrity.
• Track and manage sponsor social media campaigns and ensure blogs and tweets are posted in a timely fashion
• Prof, format, and submit sponsor copy through various digital media platforms including WordPress and Hootsuite
• Assist with additional social media scheduling and/or web content tasks where needed onsite
• Onsite Sponsorship Social Media to promote Special Events (as needed)
• Track and manage sponsorship Amplification social media packages including boosted posts on Twitter, Facebook and Facebook Live, and YouTube.
• Coordinate with Tech and Marketing Depts. on sponsor logo placement and sponsor descriptions on SXSW.com, SXSW.com/sponsors, SXSW email promotions, social media channels such as YouTube, SXSW FM, television, radio, print and digital advertising publications
• Oversee all Sponsorship related web pages and edit as needed
• Submit all onsite sponsor events into the Filemaker Database to ensure they make all print and digital schedule listings
• Proof all print publications including SXSWorld and Pocket Guide to ensure all sponsorship listings and logos are portrayed in an accurate manner. Review to ensure our contractual obligations are met
• Oversee any sponsorship usage of SXSW logo and wordmark; work with Messaging team on usage approvals.
• Work with sponsors to create Sponsor Relevance pieces to be posted on SXSW.com
• Update and maintain various sponsorship tracking docs including 'All Things Sponsorship' prospects and contract status documents
• Proposal and contract review to ensure business development agreements are thoroughly covered in contract
• Work in client sponsorship impression value tracking
• Prepare framework for sponsor recap presentation and work to ensure they are completed in a timely manner
• Assist in the creation of all Sponsor Marketing Materials including: SXSW Sponsorship Overview, Super Sponsorship Deck, Major Sponsorship Decks, What is SXSW?, and other high profile sponsorship marketing materials such as Outdoor Stage, Crossroads, Urban Oasis
• Assist with all Sponsorship Client relations, administrative tasks, and information management
• Meeting and project agenda assistance
• Unique project work as needed by the team
• Onsite credential coordination
Qualifications
Skills required:
• Proficient in Google Docs, Google Drive
• Microsoft Word, Excel, and Powerpoint proficient
• Hootsuite and WordPress knowledge
• Experience with a CRM platform is a plus but not required
• Strong writing, grammar/punctuation and editing skills
• High attention to detail with a passion for organization a must
• Ability to communicate clear deadlines to clients in a professional manner
• Filemaker Pro knowledge a plus but not required
• Positive attitude
• Ability to take direction and see projects through based on that direction
• Very Strong multi-tasking skills required
• The ability to work under pressure
• Strong communication skills required
• Self motivated individual that takes personal responsibility and pride in their work
Physical Requirements:
This position requires the ability to lift 25-40 pounds regularly during March event. Frequently required to sit and/or stand for long periods of time, walking multiple miles a day during the event. Manual dexterity is required for keyboard and computer use. This position requires you to stay upwards of 14 consecutive days away from home.
Work Location & Schedule:
Position is located in Austin, Texas. Core business office hours are Mon-Fri, 10am – 6pm. Must be available to work additional hours from January – March to include evenings and weekends.
Reports directly to the Sponsorship Business Development & Client Services Manager in support of the Sponsorship Department.
