Job Title: Seasonal Film & TV Production Coordinator
Location: Austin, TX
Position Summary:
The Seasonal Production Coordinator works closely with the Production Manager to handle the logistics for the Film & TV Festival. Responsibilities include managing front-of-house production, special events, red-carpet premieres, and other festival activities. The coordinator is responsible for ensuring the event runs smoothly and delivers a top-tier experience for attendees.
Essential Duties and Responsibilities:
• Plan, prepare, execute, and strike events from start to finish
• Source quotes and place orders with external vendors for event needs
• Assist with event planning, data entry, and tracking updates
• Attend weekly production meetings and assist with record-keeping
• Take ownership of planning-related projects
• Recruit, train, and manage independent contractors
• Liaise with internal departments to coordinate production logistics
• Attend venue walkthroughs for planning and client events
• Assist with post-event wrap-up
On-Site Responsibilities:
• Work with the Production Manager to supervise and coordinate the Production Crew during the event
• Manage load-ins, oversee deliverables, and troubleshoot during events
• Implement on-site policies and procedures for Film & TV Festival events
• Track production tasks using internal systems (AirTable, Google Drive, FileMaker)
• Ensure timely execution of all tasks according to the schedule
• Manage and maintain Production HQ
Qualifications & Skills:
• Background in event production, project management, or a related field is preferred
• Highly organized with strong attention to detail
• Ability to multitask in a high-stress, fast-paced environment
• Strong leadership qualities and communication skills (email, phone, conversational)
• Ability to take direction and complete projects independently or as part of a team
• Calm, professional attitude in high-stress environments
• Proficiency in Microsoft Office, Apple iOS, and Google Drive required
• Familiarity with AirTable is a plus but not required
• Must be over 21 years old and possess a valid driver’s license
Physical Requirements:
• Ability to lift 25-40 pounds with or without accommodation
• Extended periods of standing or sitting
• Manual dexterity for computer and equipment use
• Must stay away from home for 14 days during the event
Work Location & Schedule:
• Position begins in January 2025, located in Austin, TX
• Core business hours are 10 am to 6 pm, Monday to Friday, with additional hours (evenings and weekends) required from January through March
