Full Time Job
Job Purpose:
Production assistant for the Banner program - Collaborate and support the Banner Coordinator on the creation and execution of a logistically and accurately planned schedule pre-event and assist with oversight of the onsite Banner Volunteer Crew. Act as a liaison with internal SXSW departments to ensure sponsorship logo placement assets are delivered. Maintain accurate tracking processes and documents through ongoing coordination with all SXSW departments, vendors and clients.
Responsibilities:
• Assist with updating and maintaining tracking documents for the SXSW Banner Program to include: organizing all internal banner requests utilizing FileMaker Pro, create Excel exports of the schedule for the onsite Banner Crew volunteers, manage Google Docs scheduling all pipe & drape in collaboration with the Planning Department, and organize/submit invoices for all banner orders
• Support on ensuring initial Art proofs have been circulated and approved by all relevant parties internally
• Liaise with various internal teams to plan hang times around their access times, i.e. hanging MusicFest banners when Production has access
• Collaborate with the Planning Department on the creation of a pipe & drape schedule for Freeman onsite
• Communicate with the Production Department and other parties to ensure all banners are taken down and returned to a mutually agreed upon place, as well as implement a process for banner recycling
• Support on creation and execution of a logistically, accurately planned hang schedule for the Banner Crew volunteers onsite based on access times, location, and various other factors
• Collaborate with the Planning Department on the creation of a pipe & drape schedule for Freeman onsite
On Site Responsibilities:
• Assist with training and oversight of the Crew Managers and volunteer crew onsite to ensure that all planned banner elements are realized and executed
• Assist with tracking of the auditing process to ensure all banners are in their correct locations, at the right time with the help of Crew Managers and volunteer crew.
Qualifications
Qualifications include:
• Must possess a positive attitude and eagerness to learn
• Proficiency in Google Docs and Microsoft Office
• FileMaker Pro skills would be of benefit but not required
• Ability to take direction then accurately and efficiently see projects through to completion
• Strong multi-tasking skills and attention to detail
• Ability to work under pressure
• Strong written and verbal communication skills
Position is located in Austin, Texas. Core business office hours are Mon-Fri, 10am – 6pm. Must be available to work additional hours during January – March to include evenings and weekends.
Physical Requirements:
This position requires the ability to lift 25-40 pounds regularly. Frequently required to sit and/or stand for long periods of time. Manual dexterity is required for keyboard and computer use. This position requires you to stay upwards of 14 consecutive days away from home.
