(S) Seasonal Production Coordinator
Job Purpose
The SXSW Production Department is seeking a Seasonal Production Coordinator to oversee the planning, coordination, and on-site execution of stage and site operations across the SXSW footprint. This role involves managing production logistics, vendor relationships, and technical elements for performances, activations, and events. The qualified candidate will collaborate with internal departments, clients, and city officials to ensure all production activities are executed safely and efficiently, in alignment with SXSW standards, from pre-production through event completion.
Duties & Responsibilities
Responsibilities include, but are not limited to:
• Oversee all aspects of stage and site production operations, including planning, contracting, staffing, and on-site execution.
• Coordinate with internal departments, vendors, and clients to advance all logistical, A/V, and production needs for performances, activations, and events.
• Manage vendor relationships, negotiate contracts, and oversee the procurement of labor, equipment, and site assets.
• Collaborate with leadership to develop and manage budgets, track expenses, and achieve departmental financial goals.
• Ensure compliance with safety policies and promote a culture of safety across all production activities.
• Maintain accurate documentation, permitting materials, and project files for internal and city review.
• Support project management efforts, process improvements, and effective communication across departments.
• Provide exceptional service and support to artists, clients, and partners while reinforcing company standards and policies.
• Contribute to company-wide initiatives, staff development, and organizational goals as an active team member and role model.
On-Site Event Responsibilities
• Manage stage and venue operations, ensuring all production elements are executed safely, efficiently, and according to plan.
• Supervise A/V, staging, and site builds, coordinating closely with labor crews, security teams, and vendors.
• Identify, troubleshoot, and resolve any production or logistical issues in real time.
• Ensure production layouts maintain audience flow, sightlines, safety compliance, and adherence to venue capacity and permitting requirements.
• Serve as the on-site liaison with the city, parks, and emergency officials during inspections and address any compliance concerns promptly.
• Provide exceptional customer service and support to artists, clients, staff, and attendees throughout the event.
Qualifications & Skills
Qualifications include:
• 3 years of event production experience, including stage management, site operations, or technical coordination
• Prior experience supervising employees or staff
• Background in event planning, conferences, exhibitions, or front-of-house operations
• Strong technical understanding of live event production standards, including audio, lighting, staging, electrical, rigging, and related systems
• Proficiency in G Suite, Airtable, Microsoft Office, FileMaker, Zoom, and Slack
• Outstanding customer service and communication skills
• Highly organized with strong attention to detail and time management
• Ability to multitask and perform under pressure in a fast-paced environment
• Strong interpersonal skills and the ability to work collaboratively or independently
Physical Requirements

• Prolonged periods of sitting or standing at a desk and working on a computer.
• Ability to lift to 20 pounds occasionally, as needed.
• Operation of standard office equipment, including computers, phones, and printers.
• May require occasional bending, reaching, kneeling, or climbing stairs.
• Ability to work outdoors, including exposure to varying temperatures or noise levels.

Work Location & Schedule
The position is located in Austin, Texas. Core business office hours are Monday through Friday, 10 am - 6 pm. However, from January through March, you must be available to work additional hours, including evenings and weekends. This role may also require you to stay away from home for 7-10 consecutive days during the event.
