(S) Exhibitions Project Coordinator
The Exhibitions Team supports creating and implementing all SXSW-branded exhibitions, emphasizing customer and vendor relations and expo logistics. The Exhibitions Project Coordinator will support the Exhibitions team in fulfilling responsibilities, focusing on the EDU Expo, Creative Industries Expo, XR Experience, and Flatstock.
Duties & Responsibilities
Responsibilities
include, but are not limited to:
• Support the production and logistics of the SXSW EDU Expo, Creative Industries Expo, XR Experience, and Flatstock, including digital elements.
• Maintain the operational budget for the expo(s)
• Manage online exhibitor portals and deliverables for assigned exhibitions
• Provide daily customer service communication and troubleshooting with assigned exhibitors
• Work with the Sales Operations team to update and send all exhibitor communications and email campaigns
• Attend vendor meetings to communicate logistical needs and place vendor orders
• Manage expo logistics at assignment venues during the March event.
Qualifications
Qualifications & Skills
• Experience with exhibition management, meeting planning, or event planning.
• Knowledge of industries represented at the SXSW exhibitions
• Working knowledge of production terminology and equipment
• Experience with a CRM (Customer Relationship Management) platform, Filemaker, and Airtable preferred.
• Team-focused with attention to detail and strong organization skills
• Exceptional written, oral, and interpersonal communication skills, possessing a keen ability to effectively communicate across internal teams, clients, vendors, temporary field staff, and personnel
• Ability to work efficiently and productively under tight deadlines, in a group environment, or independently
Physical Requirements
Sitting or standing for long periods is frequently required, with or without accommodation. Manual dexterity is required for keyboard, computer, and office equipment use. Occasional lifting of up to 20 pounds. This position may require you to stay up to 10 consecutive days away from home during the event.
Work Location & Schedule
The position is located in Austin, Texas. Core business office hours are Mon-Fri, 10 am 6 pm. Must be available to work additional hours from December to March, including evenings and weekends.
