Job Purpose
The Event Operations Project Manager has experience in the areas of event operations and logistics, administration, and project management. This position will implement and oversee multiple department processes and act as administrator over project management initiatives. The candidate in this role will engage in daily tasks that further the department's productivity and assist in achieving successful outcomes. As a generalist of the department's operations, the candidate will assist in maintaining cohesive planning across other departments and areas within the department and act as the Event Operations Liaison in Event Control during onsite operations.
Duties & Responsibilities
Responsibilities
include, but are not limited to:
• Designing, implementing, and acting as administrator of the department's project management tools.
• Acting as department liaison to other departments, groups, and internal stakeholders.
• Working with the department leadership to meet goals and timelines.
• Supporting department administrative duties and projects as required to fulfill project goals.
• Assisting with planning the volunteer and staff-related activities and events through guidance and oversight of critical tasks.
• Encouraging a culture of safety and compliance with safety policies and procedures.
• Reinforcement of both internal and external customer service efforts.
• Attending required staff training and development opportunities, continuing education, and meetings.
• Accountability of productivity and effectiveness of areas of responsibility.
• Supporting and striving to achieve departmental and organizational goals.
• Reinforcing company policies and procedures and acting as a role model for others.

Current projects are as follows, but not limited to the oversight of the logistics management and process guidance associated with:
• Volunteer Manager Meetings & Socials
• Volunteer Appreciation Party
• Department Accounting and Budget
• Volunteer Database
• Temporary Event Staffing
• Volunteer Manager Credentialing
• Volunteer Manager Merchandise
• Newsletters and Email Correspondence
• Office Administration Schedule
• Departmental Airtable
Onsite Responsibilities
• Acting as the Volunteer Management Liaison in Event Control, receiving calls from the field from staff and volunteer managers, logging calls, coordinating available resources, and working with other liaisons to solve operational issues.
• Providing onsite information regarding projects, as needed.
• Providing customer service and support to event attendees, personnel, and volunteers.
• Using identified reporting methods to document operational challenges, or to request assistance.
• Ensuring company policies and procedures are maintained by event staff and volunteers.
Qualifications and Skills
Qualifications
include:
• Prior event experience with a general understanding of overall event operations
• Knowledge of SXSW preferred, but not required
• Project management and administrative experience required
• Volunteer management experience a plus
• Ability to expand upon existing skills to execute unfamiliar tasks
• Outstanding internal and external customer service skills
• Excellent written and verbal communication skills, especially in the areas of email communications and public-facing content
• Ability to write, edit, and produce grammatically correct documentation and plans in the English language
• Highly organized with keen attention to detail
• Confidence in making decisions while working under pressure
• Strong interpersonal skills
• Ability to effectively produce and manage schedules and training materials
• Comfortable working with a team and independently
• Ability to prioritize and manage timelines
• Knowledge of Google Workspace, MS Office, Airtable, and a willingness to learn new software
Physical Requirements
The schedule may vary during the on-site operational period. Manual dexterity is required for keyboard and computer use.
Work Location & Schedule
The position is located in Austin, Texas. Core business office hours are Mon-Fri, 10 am – 6 pm, and you must be available to work additional hours from January – March, including some evenings and weekends. If available, the opportunity to work a hybrid or flex schedule is possible and will be determined by company leadership.
