Job Purpose
SXSW is seeking an EDU Programming Operations Specialist who collaborates closely with the programming team to develop and execute a comprehensive and dynamic program for the SXSW EDU Conference & Festival. They support programs including concurrent sessions and workshops, competitions, performances, film screenings, and networking events. This role is key to the event execution process, managing production logistics pre-event and onsite, including event planning, signage production, staffing, customer service, and interdepartmental coordination.
Duties & Responsibilities
Responsibilities include, but are not limited to:
• Coordinate with SXSW Departments and other internal teams to coordinate event advancement and execution.
• Communicate with organizers, participants, and speakers in support of production logistics.
• Advance production, security, and accessibility needs for speakers and participants.
• Oversee content submission, editing, and deployment for print and digital signage.
• Support departmental budget tracking, vendor tracking, and invoicing.
• Manage and organize various resources in preparation for the event.
• Provide exceptional customer service to organizers, speakers, and participants through various communication channels.
On-Site Event Responsibilities
• Organize onsite staffing needs and act as the point of contact for volunteer crews and contractors.
• Manage on-site networking events, including coordinating food and beverage, signage, and staffing.
• Support and coordinate programming onsite across all venues
Qualifications & Skills
Qualifications include:
• 2 years' experience in event production and/or project management
• Ability to multitask in a fast-paced, collaborative environment
• Proven self-starter with strong prioritization and problem-solving skills
• Strong written and verbal communication skills and customer service experience
• Strong attention to detail, copy-editing experience
• Interest and/or experience in the field of education
• Proficiency with Google Workspace, Airtable, Filemaker Pro, and Zendesk
• College degree or equivalent work experience
Physical Requirements

• Prolonged periods of sitting or standing at a desk and working on a computer.
• Ability to lift up to 15 pounds occasionally, as needed.
• Manual dexterity to operate standard office equipment such as computers, phones, printers, etc.
• May require occasional bending, reaching, kneeling, or climbing stairs.
• Ability to work outdoors, including exposure to varying temperatures or noise levels.

Work Location & Schedule
The position is full-time and located in Austin, Texas. Core business office hours are from 10:00 a.m. to 6:00 p.m., Monday through Friday. You must be available to work additional hours from January through March, including evenings and weekends. You must also be available for the March event, which will have extended working hours onsite.
