The Senior Administrative Assistant provides high-level administrative, organizational, and operational support to the SVP, Corp Communications and the broader team. This individual serves as a trusted partner who anticipates needs, exercises sound judgment, and helps the leader remain prepared, informed, and focused on the highest-priority activities.
The ideal candidate is an exceptional communicator who can quickly absorb information, identify key points, and prepare concise, accurate summaries. They bring strong interpersonal skills, proactive problem-solving capabilities, meticulous attention to detail, and a professional presence. The successful candidate will be comfortable operating in a fast-paced, highly confidential environment and interacting with senior leaders and stakeholders across the organization.
RESPONSIBILITIES
Executive Support and Prioritization
• Provide comprehensive administrative and organizational support to SVP, Corporate Communications.
• Anticipate the leader's needs, identify potential issues, and proactively recommend or implement solutions.
• Manage a complex and frequently changing calendar, including scheduling, meeting prioritization, conflict resolution, and preparation time.
• Serve as a central point of coordination for the team.
• Handle sensitive and confidential information with exceptional discretion, judgment, and integrity.
Briefing, Synthesis, and Meeting Preparation
• Review emails, reports, presentations, meeting materials, and other business documents to identify key themes, decisions, risks, and action items.
• Prepare concise written summaries, executive briefings, talking points, agendas, and background materials.
• Distill complex or lengthy information into clear, accurate, and actionable takeaways.
• Coordinate the preparation and distribution of meeting agendas and supporting materials.
• Attend selected meetings as appropriate, capture decisions and action items, and help drive timely follow-through.
• Proofread and quality-check documents and presentations for clarity, accuracy, consistency, and executive readiness.
Stakeholder Management and Communication
• Communicate professionally and confidently on behalf of the leader, using sound judgment regarding tone, timing, and level of detail.
• Navigate complex stakeholder dynamics with diplomacy, composure, tact, and discretion.
• Represent the leader and the function with credibility and a strong professional presence.
• Facilitate efficient communication and information flow across teams and organizational levels.
• Respond appropriately to urgent or sensitive matters and escalate issues when necessary.
Meetings, Travel, and Administrative Operations
• Coordinate domestic and international travel, including itineraries, transportation, accommodations, visas, and related logistics.
• Process and reconcile expense reports accurately and on time.
• Coordinate meetings and videoconferences, including room reservations, invitations, technology requirements, and attendee logistics.
• Manage invoices, approval requests, and other administrative processes.
• Support team meetings, leadership presentations, special events, and other business activities as required.
QUALIFICATIONS

• Demonstrated experience providing high-level administrative support to a senior executive or functional leader.
• Excellent written and verbal communication skills.
• Strong interpersonal skills and the ability to build credibility and trusted relationships across organizational levels.
• Highly proactive, resourceful, and solutions-oriented, with the ability to anticipate needs and act without requiring extensive direction.
• Exceptional organizational, prioritization, and time-management skills.
• Meticulous attention to detail and a consistently high level of accuracy.
• Strong professional presence, judgment, diplomacy, and composure.
• Ability to manage multiple priorities and adapt quickly in a dynamic, fast-paced environment.
• Demonstrated discretion and integrity when handling confidential or sensitive information.
• Strong follow-through, accountability, and ownership of responsibilities.
• Proficiency with Microsoft Outlook, Word, PowerPoint, Excel, Teams, and related productivity tools.
Preferred Qualifications
• Bachelor's degree or equivalent combination of education and relevant professional experience.
• 5+ Years of experience supporting an executive in a complex, global, or matrixed organization.
• Experience preparing executive briefings, summaries, presentations, or meeting materials.
• Experience coordinating across multiple time zones and managing domestic and international travel.
• Familiarity with expense reporting, invoice processing, purchase orders, and corporate administrative systems.
Salary/Benefits
$66,000 - $83,200 /year USD
The actual base salary offered will depend on a variety of factors.
