Publicity Co-ordinator

Overview
The UK theatrical publicity team are responsible for the planning, development and implementation of the publicity campaigns for Sony Pictures' UK film releases. The department covers all areas of UK publicity activity, including media screenings, events, talent tours, festivals, premieres and awards campaigns. The department works to secure and maximise editorial coverage across the UK media landscape –working with print, TV, radio and digital media. The Publicity Co-ordinator is encouraged work as an integral member of the publicity team, collaborating closely directly with a broad spectrum of UK media, studio and industry contacts.
Key responsibilities
To primarily report into the Publicity Director and to provide general support to the team, working across all forthcoming titles to ensure the efficient running of the press office, tours, special events and internal systems.
Screenings
• Collaborate closely with the Film Distributor's Association to book official FDA screening dates for every forthcoming film release
• Lead the invitation and RSVP process to media screenings
• Book screenings as necessary at internal and external preview theatres
• Book security as needed for internal and external screenings
• Liaise with technical department to ensure film delivery for every screening
• Attend media screenings and check in journalists
• Collate media reactions from press screenings
Publicity materials
• Assisting with media requests for materials
• Manage our media monitoring agency and negotiate and track title spends
• Collaborate closely with design agencies to produce materials (e.g. screening invitations, tickets etc)
Budgets
• Raise Purchase orders, allocate title and recharge as necessary
• Track budgets by title
• Provide weekly budget updates to publicity director
Talent/film-maker tours & special events
• Liaise with LA office, co-ordinating all logistics for UK talent tours
• Handle hotel bookings for visiting talent and their guests
• Handle tour/hotel budgets associated with specific events
• Keep updated and detailed reports listing all requests for visiting tour parties
• Liaise with car company and book/co-ordinate all transport requirements for the duration of the London tours
• Assembling and distribution of welcome packs
• Manage luggage lists and distribution on tours – liaising with LA office and the previous/next territory on the tour
• Manage restaurant/general entertainment bookings for visiting talent parties
• Occasional talent/executive handling
UK/US press junkets
• Work with the UK travel office to book flights/transport and accommodation as needed for journalists traveling abroad
• Liaise with hotels re booking rooms for interviews and/or events and any catering requirements
• Manage the press office and check-in desk at London press junkets, checking journalists in and ensuring the media are in place, ready for interviews
General
• Provide administrative support to the press office
• Assist with general press office enquiries/ requests for screenings, publicity materials etc
• Track and update title budgets
• Assist with title presentations
Experience Required
• Typically, 2 years' public relations related experience. Experience in film/entertainment is preferable
• Forward-thinking, helpful and enthusiastic individual
• Highly organised with excellent attention to detail
• Numerate, systems literate
• Self-motivated, proactive, resourceful and creative
• Ability to multitask
• Approachable, eloquent, outgoing and have good interpersonal communication
• Ability to remain calm and clear-thinking in pressured situations
• Flexible - prepared to work beyond standard office hours when needed
