Office Manager
Based in Singapore, the Office Manager will provide support to the Senior Management team in the areas of planning, organizing, coordinating and managing day-to-day operations through a broad spectrum of project management and administrative work for the local and regional offices. He/she will also be involved in projects to formulate change initiatives in addition to operational responsibilities.
Requirements:
• Provide support to Senior Management including managing schedules, coordinate meetings and teleconferences and managing calls and mail
• Provide support to Senior Management's business travel which includes travel planning and booking, visa applications, expense management and general cost optimization
• Provide support in organizing local / regional / global meetings
• Prepare monthly reports for Senior Management
• Collaborate and work closely with global team assistants
• Provide support in employee onboarding and offboarding activities
• Review Purchase Orders (POs) as required from business and related functions, filing of expense claims and managing the petty cash
• Manage all general insurance matters
• Provide administrative support for staff amenities which include office renovations/expansion, space planning, office lease agreements/renewals and logistics coordination for the local and regional offices
• Responsible for managing the office security access system and administrative matters such as the issuance and tracking of security badges, maintenance and supplies for all general office equipment and stationery
• Evaluate and conduct regular reviews with respective service providers and stakeholders to achieve a well-balanced optimization of quality, service and cost effectiveness while meeting business needs
• Execute and support projects relating to office administration functions, e.g. Business Continuity Planning, etc.
• Any other ad-hoc duties as assigned
Requirements:
• Minimum Diploma in Business Administration or similar field of study
• At least 4 years of relevant work experience in an office administrative support role in a fast-paced environment
• Strong time management, project management and organization skills
• Fluency in English essential, Mandarin an advantage
• Professional communication skills both written and spoken, with a strong eye for detail
• A self-starter, with a positive working attitude and ability to multi task and collaborate effectively under tight timelines
• Resourceful, meticulous, and a team player who is able to work well with all levels
• Proficient in MS Office applications
