Coordinator, Global Security and Safety
The Coordinator of SEHS provides administrative and operational support for the Security, Environmental Health & Safety team within the Global Real Estate, Facilities & SEHS department. This role is responsible for managing all office administrative functions & procedures to ensure maximum efficiency, along with the management of calls, meetings, and related clerical duties.
Core Responsibilities
• Schedules and manage resources to assist, as required, for any corporate SEHS assignments
• Tracks department T&E spend
• Designated Sony administrative point of contact for Studio Security Chiefs group
• Manages calendars; arrange and schedule meetings
• Arranges travel: flights, hotel, ground transportation, rentals, trains, etc.
• Create and manage expense reports for designated SEHS leadership team
• Answer phones and take messages, support follow through with external contacts
• Schedule & coordinate video conferences
• Maintain up-to-date contact lists
• Responsible for preparing meeting-related materials in addition to presentations
• Maintain and orders supplies for the SEHS department
• Support the Coordinator for the wider Real Estate/Facilities department
• Quality control of written documents and procedures, including editing and review
• Provide communication and problem-solving assistance as required
• Liaison with key business support functions as necessary (IT, Facilities, etc)
• Report writing as necessary
• Maintain a professional, friendly demeanor at all times
Job Requirements
1-3 years of experience
BA degree preferred
Knowledge of:
• Develops strong business relationships focusing on communication and customer service
• Speaks clearly and expresses self well in groups and in one-on-one conversations, and through formal and information written documents, listens to others, delivers effective presentations
• Power user in the following applications:
o MS Office Suite
o SharePoint
o Concur
Skill In:
• Possess strong organizational and follow-through skills
• Build strong and lasting relationships with clients and SPE departments
• Excellent interpersonal communication, computer and writing skills
• Able to prioritize work with attention to detail to ensure that all assignments are completed in an accurate and timely manner
• Excellent customer service skills
• Must be able to communicate effectively and tactfully with managers and all levels of personnel in person, on the telephone, and through written communication.
Ability To:
• Ability to work under pressure, ability to maintain awareness of and seek to meet the needs of the team and department without being prompted
• Uphold relationships internally and externally
• Must be flexible and able to work well in an environment with shifting needs and priorities
