Coordinator, Customer Operations - Distribution & Networks
The Physical Operations team is responsible for manufacturing, inventory control, management of order delivery and product in-stocks for all vendor managed inventory (VMI), scan-based trading (SBT) and traditional/direct accounts. The team also manages multiple 3rd party vendor partners.
Reporting to a Manager of Customer Operations, the coordinator is responsible for invoice processing, physical shipment management (Traffic) and adhoc reporting/tasks as needed. This role requires strong communication, knowledge of system functionality, and the ability to identify process improvements through innovation. The ideal candidate will manage customer key performance indicators, work on data management/analysis while supporting many different projects. They will assist in providing timely resolution of issues and navigating through escalation protocols as well as identifying and instilling best practices. Feedback on the team vision is a top priority.
Responsibilities:
Invoice Processing
• Responsible for timely processing of invoices supporting Distribution, Transportation, Merchandising and other operational activities
• Invoice allocation/coding/submission
• Executive approval workflow monitoring
• Vendor payment status monitoring
• Publish invoice/payment status tracker
• Cost analysis of select categories/vendors
Sales Order Traffic
• Track and monitor sales order-related activities to ensure on-time delivery to retail (order, ship, delivery)
• Generate/publish reports
• Review for exceptions outside of SLA (service level agreements)
• Further research/follow up on exceptions as needed
• Validate data integrity and ensure consistency of data flow across multiple internal and vendor systems (Electronic Data Interchange and other business feeds)
Ad Hoc Tasks, Reporting & Analysis
• Prepare summaries for sales management, operations, and account presentations
• Other operational account support as identified
• Supports testing for process and system implementations
• Assist Consumer Care team as needed with monitoring of consumer inquiries
Job Requirements:
• BA degree preferred
• 1-2 years of experience in Administration of Supply Chain or equivalent experience
• Exceptional interpersonal capabilities and excellent verbal and written communication skills
• Understands the business issues and data challenges of the organization and industry
• Well-organized, detail-oriented, problem solver, energetic, independent and responsive to feedback
• Strong written and verbal communication skills with internal/external partners and customers
• Strong follow-up and issue resolution with internal teams and external vendors
• Ability to thrive, multi-task, and prioritize in a fast-paced environment
