Coordinator, Asset Management
General Function:
Support the scheduling of departmental work, and work closely with various department members to prioritize, manage and communicate deadlines and project status.Responsible for tracking schedules of internal and external clients, status of mastering projects and completion of priority deliverables.Support external and internal clients researching masters as needed for specific clients.Additional work will support the review and management of rejections from clients, data entry, and updating of records in GOLD, and other SPE systems.
Duties and Responsibilities:
• Manage the tracking of library titles through the mastering process through completion of primary deliverables, communicate status of masters to clients or client servicing groups (Business Ops). Work with other Asset Management staff, DAC, Sony Sound and SPHE to help coordinate element delivery, keeping staff updated on titles, maintaining tracking records and insuring the department meets delivery schedules per internal and external client needs.
• Maintain and update spreadsheets and databases used in tracking rejection or re-mastering projects, or in conjunction with departmental tasks, as necessary.
• Communicate with Asset Management staff to ensure deadlines are clear, and any changes are documented. Requires communicating with outside vendors, holding them accountable to performance standards and deadlines.
• Assist with the resolution of all client rejections and Vendor ''Lab alerts'' for library assets of Feature, Series and MFT product from International and Domestic Sales Service Departments worldwide. Assist in coordinating correction of rejected videotape material as required for rejection resolution, re-supplying to external clients.
• Prepare shipments of film and video through the GOLD element management systems to labs and vendors to ensure preprint element and videotape master purchase orders are completed by required dates.
• Research and locate elements required for client servicing, rejection resolution, or other re-mastering research that may be needed in Gold.
• Track Quality Report completion and status, assist with scheduling QC priorities, managing movement and communication of masters at and between vendors.
• Responsible for the placement of purchase orders related to servicing Television broadcast clients or SPHE clients, including rejection resolution.
• Maintain and update spreadsheets and databases used in tracking rejection or re-mastering projects, or in conjunction with departmental tasks, as necessary.
• Respond to daily correspondence from all internal and external clients.
• Perform other duties as required and/or assigned.
DECISION MAKING AND ACCOUNTABILITY:
This position will be responsible for overall deadlines and schedules of external clients and tracking those dates for Asset Management projects. This requires updating and tracking frequent changes in scheduling, competing priorities, and communication across Asset Management staff and clients. Position requires routine review of schedules for changes and tracking daily updates within the department and as needed with external vendors, escalation of issues or delays in process as required, and customer service in regard to outside inquiries. This can be challenging as it requires consistent communication with various members of staff, clarifying priorities across many projects, and communicating changes to all relevant parties.
KNOWLEDGE AND SKILL
• 1-2 years experience in videotape element manufacturing or related post production scheduling experience.
• Must have excellent organizational skills, with ability to schedule projects and see them through to completion under pressure.
• Written and oral communication skills are essential, including computer proficiency in standard programs, including Excel and Word. Experience with Xytech (Gold) systems, knowledge of film, videotape and audio formats and elements, quality control standards, and issuing purchase orders considered a plus.
• Education: minimum High School diploma. College level courses in film and video production, or a degree in film or television production is preferred.
