Commercial Operations Specialist
Sony Pictures Entertainment is a subsidiary of Tokyo-based Sony Corporation. SPE's global operations encompass motion picture production, acquisition, and distribution; television production, acquisition, and distribution; television networks; digital content creation and distribution; operation of studio facilities; and development of new entertainment products, services and technologies. SPE's Motion Picture Group production organizations include Columbia Pictures, Sony Pictures Animation, Screen Gems, TriStar Pictures, 3000 Pictures, Stage 6 Films, AFFIRM Films, and Sony Pictures Classics. Sony Pictures Television (SPT) operates three complementary lines of business: 1) Distribution of SPE's feature films and television programming to television outlets around the world, 2) Local television production in key international markets, 3) International television networks and digital networks.
The Commercial Operations Specialist is responsible for the accurate and timely insertion of commercial contracts and the client's commercial copy instructions into the Landmark Sales system as designated by the Sales Planner, Account Representative or the Commercial Operations Manager. The Specialist is also responsible for coordination with Sales Reps regarding the receipt and scheduling of client's commercial copy. In addition, the Specialist corresponds with Regional Ad Sales Representatives regarding inventory availability, Priority Token assignments, and notification of missed spots. The Specialist is also responsible for the daily upkeep of advertiser files and sending sales contracts and reports to local Sales offices on a daily basis.
Responsibilities:
20% 1. Communication & Coordination with Regional Ad Sales Reps: Verify receipt and acceptance of orders. Cross reference all sales orders against the Programming Grid and report any variances back to the sales office. Notify Rep offices of preempts and make suggestions on the scheduling of makegoods. Advise Reps of programming changes and offer alternate placement of spots. Notify Rep offices of missing materials and identify replacement materials. Follow up with EDM regarding TQC approvals for commercial spots. Send Contract Reports, Preempt reports and weekly/monthly sales management reports.
30% 2. Order Entry: Enter commercial contracts ensuring that all spots place in the accordance with the client's media plan. Register new Products into Landmark. Review orders to make sure those contracts are fulfilled with the appropriate number of spots. Organize advertiser files including all written instructions for each contract.
20% 3. Copy Instructions: Assign House numbers to each piece of material after receiving TQC approval from EDM. Input Agency's Copy Instructions and Copy Changes into Landmark Sales System ensuring that the correct material is running.
5% 4. Analyze viability of fulfilling Media Plans – Analyze amount of commercial breaks within an ordered time range and notify Sales Rep when plan is not viable and offer options based off available inventory.
5% 5. Month End Tasks – Work with SPT Finance department to perform Month End reconciliations per market prior to Invoice Runs.
5% 6. Coordinate Creation of new Clients with Finance Department – Coordinate with Sales Rep and SPT Finance department on the creation of new advertisers and agencies in the system and receive notification of client's creditworthiness.
5% 7. Special Client Requests – Collaborate with Commercial Log Coordinators to ensure that special spot placement requests are fulfilled.
5% 8. Implementation of Changing Priority Tokens per client – Ensure that each client has the correct Priority Token assigned to each spot ordered. Update contracts quarterly as Priority Tokens change.
5% 9. Monitor fulfillment of Client Sponsors packages for Original Productions.
Knowledge/Skills/Abilities:
• Knowledge of the Television Operations as well the Latin American Market
• Fully bilingual in English/Spanish, knowledge of Portuguese is desirable
• Excellent communication skills in writing and editing
• Ability to communicate and maintain key relationships with internal and external clients
• Strong attention to detail and organization, and ability to trouble shoot issues and problem solve all types of occurrences
• Ability to multitask and adaptability to work under uncertain changes
• Proficiency in MS applications and Outlook and ability to understand various computer-generated reports.
• Ability to work under tight deadlines and prioritize various tasks as well as work in a multicultural environment.
Experience:
• 2+ years of experience in Commercial/On Air Operations
• 2+ years of Entertainment Industry experience is preferred (TV, Media, Entertainment)
Education:
• Bachelor's degree required; Marketing/Broadcasting/Communications focus is preferred.
