This is a Full Time Job
We are seeking an Administrative Assistant to support the two VPs of Screen Gems.
Responsibilities
• Coordinate all calendar scheduling, phone lines, office filing, and various administrative tasks in a timely manner for two high volume desks
• Handle all other general administrative duties: processing mail, copying, ordering supplies, coordinating travel, managing document flow (creating and maintaining electric and hard copies/memos)
• Keep accurate log of expenses and submit reports on monthly basis
• Maintain accurate submission logs and project folders
• Participate in reading of books, scripts, short stories, plays, etc. for available submissions as well as samples
• Watch old and current films and tv shows/episodes in relation to projects, submissions, and talent samples
• Provide feedback/notes on submissions and project drafts when needed
• Participate in weekend reading when needed
• Maintain writer, director, and actor lists on a weekly basis, and call representatives for availability checks when needed
• Knowledge of industry players around town at major agencies and production companies
• Proof reading and editing; ability to do story notes when needed
• Miscellaneous duties as required
Qualifications
• On-site required
• 2+ years experience as an Executive Assistant in the Entertainment industry
• Must be detail-oriented
• Ability to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be able to meet deadlines
• Ability to be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Exceptional organizational and interpersonal skills
• Common sense, dependability, discretion and attention to detail are required
• Must be a self-starter with a team-player attitude
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
• Agency, Management, Studio, and Production Company relationships
• Basic knowledge of filmmakers, screenwriters, authors, and representatives
• Strong computer skills (Microsoft Outlook, Word, Excel, Airtable, Callplease, Studio System, Adobe, Final Draft)
• Experience with PIX and other entertainment software programs
