There is an exciting Administrative Assistant III, People & Organization (P&O), position available which provides a wide range of administrative support for the VP, Global Talent Acquisition, SVP, People Solutions, VP, Rewards, and VP, People & Organization Operations. The selected individual will act as the central point for these executives with internal and external clients.
The Administrative Assistant III will work collaboratively and demonstrate a high level of professionalism and confidentiality as they effectively interact with employees at all levels of the organization. The individual will play a pivotal role in supporting and executing talent acquisition and rewards, transformation, and people services strategies for Sony Pictures Entertainment .
Responsibilities
• Schedule meetings involving numerous attendees
• Meeting coordination, which includes booking conference rooms and meeting preparation
• Managing complex calendars
• Schedule interviews for executive candidates with numerous senior decision-makers
• Coordinating domestic & international travel
• Coordinating on and off-site work sessions for internal, vendor, and partner participants including agenda management, physical logistics, and catering
• Process expense reports
• Use of Microsoft Office, including Word, Excel, and PowerPoint
• Submit invoices and keep budget spreadsheets updated
• Other general administrative duties (processing mail, copying, etc.)
• Miscellaneous duties as required
Qualifications
• 3+ years' experience as an administrative assistant or coordinator, ideally in a Human Resources environment
• Strong computer skills (Microsoft Word, Excel, Outlook and PowerPoint)
• Exceptional organizational and interpersonal skills
• Must be detail-oriented and skilled at managing high volume of complex information
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Self-starter, who proactively identifies gaps and structures actions to address
• Ability to take direction from numerous executives and prioritize workload
• Must exhibit discretion and understand the importance of confidentiality
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
• BA or BS in HR or business relevant disciplines is a plus
