Full Time Job
This position is responsible for providing project management, event, and administrative support for the Government Affairs Department as directed by the EVP of Government Affairs.
Key responsibilities including handling phones, maintaining contacts, scheduling, and filing for the EVP and two Vice Presidents; setting up tour logistics for visiting delegations of international, federal, state and local dignitaries; putting together screenings and other community outreach events; providing support for the RideShare program as directed; and coordinating aspects of annual studies and statistical analyses which are required for reporting to the City of Culver City as part of our Development Agreement. There will also be responsibility for managing other databases relating to the economic impact of location filming as well as different systems that allow the department to tabulate SPE's overall impact.
Responsibilities:
• Provide full range of administrative support for department including handling phones, calendar, filing, drafting and handling correspondence, meeting coordination, expense reports and travel arrangements.
• Preparing detailed reports, PowerPoint materials, and other vehicles for professionally presenting materials to a high-level internal and external audience (includes SPE senior executives, various community groups, and government officials).
• Managing and coordinating the logistical elements of events. Events will include arranging special tours and visits by politicians/community groups to Sony Pictures Studios and special screenings. Associated duties will involve arranging for food, media services requirements, publicity materials and invitations, security/parking logistics, as well as meeting/greeting/escorting elected officials/community leaders/others.
• Oversee/coordinate a variety of projects which require significant analytical skills, sound judgment, discretion and confidentiality, as well as in-depth knowledge of database and other software:
• Keeping a spreadsheet up-to-date that tracks the progress of legislation in different states, Congress, and foreign countries.
• Managing a spreadsheet which tracks actions of the FTC and FCC as requested by EVP Government Affairs
• Manage EVP Government Affairs database of key political contacts to track visits to Sony Pictures Entertainment or meetings in Washington, D.C.; key subjects discussed; follow-up required; and dates that follow-up was accomplished.
• Managing and inputting information into a database to track film production statistics, spend, and incentives.
• Administer and oversee outreach strategy created by EVP Government Affairs Department in all 50 states, in D.C., and abroad. Maintain records of internal meetings with different senior executives undertaken by EVP and assist EVP with required follow-up.
• Other projects as assigned.
Requirements:
• Bachelor's Degree preferred
• 3-5 years of administrative assistant experience
• 1-2 years of experience in the entertainment industry
• General interest/knowledge of politics and the political system
• Excellent written and verbal communication skills
• Skilled in administrative support in a dynamic environment
• Highly detail oriented and skilled in the use of Word, Excel, Access, Lotus Notes SharePoint, Outlook, and PowerPoint
• Able to handle confidential information with discretion and be able to manage and deflect when necessary, incoming questions as well as requests
• Able to work independently, to multi-task, and to manage projects as assigned
• Able to professionally interact with external/internal VIPs as well as to work well with other staff at SPE
The anticipated base salary for this position is $61,300-$80,500. This role may also qualify for annual incentive and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
