Administrative Assistant III, Business Affairs- Pure Flix
The Administrative Assistant will report to the Vice President of Business Affairs and Acquisitions and will be required to perform a variety of administrative duties for the VP in support of the Pure Flix business.
Responsibilities
• Schedule meetings (including video conference calls and booking rooms)
• Answering phones
• Ordering office supplies
• Updating office directories
• Supporting remote work conditions
• Expense reports and travel arrangements via the Concur system
• Upkeep of documents and forms/templates in our SPTNBA SharePoint and Pure Flix / AFFIRM SharePoint sites
• Prepare and send documents for electronic signature (Adobe Sign) or via physical mail (if originals are necessary)
• Maintain spreadsheet to track agreements out for signature and follow up with counterparties as necessary to ensure the full execution of all agreements
• Assist colleagues with contract comparisons
• Upload contracts and input data into internal contract management database (Rightsline)
• Distribute fully executed agreements to internal distribution list via Rightsline
• Obtain regular status updates of Pure Flix's upcoming original productions from creative executives, and update the ''Master List'' of upcoming, active, and completed productions
• Distribute the Master List monthly to various internal groups within Sony (e.g., Creative, Labor, Legal, IP, Residuals, Participations, Music, Finance, Distribution, etc.)
• Complete and fill out Distribution Terms Sheet
• Connect with various internal groups within Sony such as Programming, Finance, GPMS, TrackIP, Business Affairs, & Production Legal
• Assist, and liaise with, various internal groups within Sony to connect them with third party production companies (''ProdCos'')
• Handle WGA administrative duties for each production, including prepping memos, inputting relevant writer engagement rates and liaising with teams to ensure long forms are drafted
• Handle DGA administrative duties for each production
• Listen in on calls (other than any call that might be subject to Attorney-Client Privileges
• Review/draft simple agreements
Qualifications
• Proficiency in Microsoft Office suite of software (Word, Excel, etc.)
• Proficiency in Adobe software (including Adobe Sign, document comparisons, etc.)
• Experience with expenses management systems (ideally Concur)
• Ability to organize, prioritize, and self-manage a variety of tasks (exceptional organization skills)
• Requires minimal oversight and is proactive with daily tasks
