Administrative Assistant II - Internal Communications
Sony Pictures Entertainment Internal Communications team has an unrelenting focus on ensuring that internal communication efforts across SPE business units are connected to consistent messaging about SPE's progress towards achieving business strategies, desired culture, and core values. We leverage the strength of Sony's multi-faceted communication channels to impact the connection between our SPE team members and our global family of Sony businesses and employees through engaging, informative, and meaningful communications.
We are looking for an Administrative Assistant who is detail-oriented, fast working, resourceful, flexible, curious, and has a strong desire to learn and grow within the communications functions.
Responsibilities:
• Serves as the main organizer and administrative support for the SVP of Internal Communications, including answering call, scheduling meetings, booking travel, maintaining calendars, creating and distributing agendas, generating meeting recaps and communications results, etc.
• Process expense reports, track department invoices, and order office supplies as needed
• Update and maintain department budget sheets
• Support the creation and dissemination of internal communications material (emails, enterprise-wide notices, presentations, etc.)
• Conduct internet research and analysis of media coverage
• Maintain department shared drive files, databases, and lists (e.g., Daily News distribution list - add, remove, keep track of names)
• Track and conduct analysis of employee engagement with email communications and events
• Maintain Corporate Communications archive (The Latest, Exec Emails, Crisis Comms, Press Releases, etc.)
• Support internal employee events (manage RSVP lists and assist on day of event)
• Maintain and update important digital information for department (SPE Executive Directory, website, employee intranet – mySPE, and studio lot signage
• Eagerness to strengthen proofreading and editing skills
Requirements:
• Bachelor's degree is preferred
• 1 - 3 years' experience within a communication-related role and desire for a future career in this space
• Passion for writing, words, and communications
• Excellent written, oral communication, and people skills
• Detail oriented with exceptional organizational skills
• Professional and courteous demeanor
• Ability to multi-task and prioritize to ensure all assignments are completed accurately and in a timely manner
• Flexible and autonomous with an ability to work well in an environment where needs and priorities are subject to change
• Resourceful self-starter with a team-player attitude
• Must be able to maintain discretion and confidentiality
• Common sense, dependability, and excellent interpersonal skills
• Strong computer skills (Microsoft Office – Word, Excel, PowerPoint)
• Familiarity with AP style and standard PR tools is a plus
• Familiarity of Sharepoint or experience with other Intranet tools is a plus
