Summary
Sony Pictures Worldwide Acquisitions is a specialty film division of Sony Pictures that specializes in acquiring and producing films for a wide variety of distribution platforms. We are a small yet high-paced division with a large workload including around 40 titles a year.
The Administrative Assistant will provide full range of administrative support for two VPs. Key administrative responsibilities will include handling phones, calendar, filing, drafting, and handling correspondence, meeting coordination and travel arrangements.
Job Description
• Word processing (composing and generating letters, memos, etc.)
• Handling phone calls
• Distributing and following-up on documents
• Updating databases and lists
• Scheduling and preparing for meetings, screenings and tests, and handling calendar
• Proof reading and editing
• Processing expense reports
• Managing document flow, including creating and maintaining files (electronic and hard copy)
• Other general administrative duties (processing mail, copying, etc.)
• Creating and sending screener links
• Managing department Intern
• Miscellaneous duties as required
Job Requirements
• 2 years experience as an administrative assistant, Production Secretary or Production Coordinator on Feature Films.
• Strong computer skills (Microsoft Word, Excel, and FilemakerPro Database Creation & Management)
• Exceptional organizational and interpersonal skills
• Must be detail-oriented
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be able to meet deadlines
• Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Common sense, dependability, discretion and attention to detail are required
• Must be a self-starter with a team-player attitude
• Excellent communication skills – written, verbal and non-verbal (must have a professional and courteous demeanor)
